Service Co-ordinator
The role will provide administrative support and co-ordinate the activities of the highly focussed and skilled service team. There will be many opportunities to develop the role into other service related areas, including owning and resolving calls as wellas commercial development of the service department and associated activities.
Key Accountabilities
- Administration and co-ordination of the service department, from new enquiries through to repair processing, progressing and despatch.
- Lead service meetings and both record and follow up actions
- Checking service E-mails and ensuring all have been responded to and the customers are aware of progress
- Telephone support for all incoming calls
- Booking logs on the service database
- Responding to customers’ requests and providing updates on their repairs
- Arranging despatch of parts and repairs
- Arranging orders with purchasing for components or special items - progressing these orders directly with the supplier
- Arranging on site visits for engineers, both home and abroad
- Progressing all repairs through the workshop and inspection departments
- Assisting with quotations for repairs and products
- Arranging and organising repairs by outside companies and ensuring that the suppliers repair and return items in a timely manner
- Administration, audit and update of the loan spreadsheets and database
- Administration of the training spreadsheet and ensuring that it is updated when service partners attend training
- Participation and opportunity to lead / manage service related projects such as the warranty /calibration process reminders
- Participation in the ISO9001 and ISO14001 quality scheme

Experience & Skills Required
- Ideally used to working in a technical environment and technically minded.
- Must have excellent administration skills, highly organised and ability to prioritise
- Good attention to detail
- PC literate with Intermediate / Advanced Excel, Word and Outlook skills
- Team player with excellent communication skills including a first class telephone manner and written skills
