An exciting opportunity has arisen within Corporate Nursing Services for an administrator to join our Safeguarding and Looked after Children team. The post is 18 HPW with a working pattern of Monday, Thursday and Friday 09:00 - 17:00.

We are looking for a committed and enthusiastic individual to assist the Safeguarding and Looked after Children team in their continued work to ensure that the management of the child protection and looked after children processes run smoothly.

This interesting and varied role will provide clerical and administrative support including minute taking, maintenance of databases and support to a busy and friendly team. The post holder will be an essential, integral part of the team working closely with with all members of staff to ensure that a high quality service is delivered.

We are looking for an experienced administrator with excellent communication (both oral and written) and organisational skills that has the ability to work on their own initiative and as a part of a team. The role requires a working knowledge in Microsoft office packages, particularly Outlook, Excel and Word, and electronic patient record systems.

Provide administrative support to the Safeguarding Children and Looked after Children team.

Enter information accurately onto SystmOne and other electronic
collections for subsequent analysis, reference and presentation.

Input and monitor the child protection flagging process on SystmOne and Unity.

Deal with any general enquiries from internal staff, other professionals
and the general public, ensuring that the appropriate action is taken. This

Provide administrative support to the Clinical Nursing Team and administrators within the Safeguarding Children and Looked after Children (LAC) Department.

Organise/prioritise own time to complete tasks within specified timescales.

Provide secretarial/administrative support as and when required to members of the Domestic Abuse Team in the absence of the Domestic Abuse Administrator.

Prioritising own workload to ensure that deadlines are met and tasks are handled in an effective and timely way.

Be proficient in entering information onto SystmOne and other electronic collections for subsequent analysis, reference and presentation under the guidance of the Named and Associate Named Nurses and Lead Nurse within the Safeguarding Children and Looked after Children Department.

Input and monitor the child protection flagging process on SystmOne and any other electronic records within SWBH i.e. Badgernet/CDA

Ensure that outgoing post is dispatched in the appropriate internal/external system within the required timescales ensuring information governance requirements are adhered to.

Have an in-depth knowledge of the Child Health System.

Ensure Child Protection systems and processes are maintained (supporting administrator in this function)

Support Looked after Children systems and processes so they are managed effectively

Liaison with external agencies such as CCG, Police and Social Care.

Typing of correspondence and reports in regards to Looked after Children

(Initial and Review Health Assessments) using a range of Microsoft

packages as required (Word, Excel, and PowerPoint).

Recording data using Excel spreadsheets for a range of data collection uses.

Use office equipment as necessary e.g. laminator, photocopier, fax machine, resolving minor technical problems which arise as far as possible.

Assist in the management/coordination of diaries used by members of the Safeguarding Children and Looked after Children Department using the computerised diary system.

Arranging meetings on behalf of members of the Child Protection and Looked after Children team, rearranging dates where necessary and ensuring that all participants have the relevant information.

Identify and book appropriate venues for meetings, equipment requirements and refreshments, where appropriate.

Prepare Agendas and take minutes of meetings as and when required. Type up minutes agree with the Chair of the meeting and circulate in a timely manner.

Answer the phone in a prompt and efficient manner using knowledge of SWB and directorate roles and responsibilities to direct calls to the relevant person/department.

Take messages for the team and convey in a timely manner using identified and accepted systems.
