The Kenton Theatre is a stunning Georgian venue which first opened in November 1805 and is one of the oldest working theatres in the UK. Seating 240, the theatre today offers a varied programme of music, drama, dance, talks, comedy and family work and is regularly hired by a number of community groups and private events. Boasting over 230 performances a year, with an annual income of £500k and over 28,000 tickets sold in 2023.

We are looking for an experienced, enthusiastic and highly organised Theatre Administrator to support the running of the Kenton Theatre and to provide administrative support to the Theatre Manager and the other departments as and when required.

Reporting to: Theatre Manager

**Purpose of role**

This broad and varied role will provide administrative assistance in all areas of the business with exposure to all operational aspects of the theatre.

**Main duties and responsibilities**

**Operational support**
- Day-to-day office support including general correspondence, maintaining office supplies, photocopying and filing
- Preparing and maintaining staff and Board contact sheets
- Updating Team Kenton bios and photos for Board and staff
- Co-ordinating the holiday log and request forms
- Assisting with special events and meeting organisation including fundraising events
- With the Theatre Manager, organising the annual Kenton Carols event
- Organising flowers, gifts and cards as necessary
- Conducting various pieces of research upon request
- Support with gathering information data/information for Board reporting purposes
- Supporting with proof-reading documents and reports
- Supporting with general banking administration and cash handling
- Liaising with the IT Consultant to ensure tasks prioritised and actioned
- Collating and distributing post-show reports
- Collating and archiving press cuttings
- Organising, attending and taking minutes for fortnightly staff meetings
- Organising staff training on behalf of Theatre Manager
- To undertake any other duties that may reasonably be required of the Administrator

**Volunteer management support**
- Preparing lanyards and name badges for all volunteers
- Assisting with planning of volunteer social events and training evenings

**Hirer support**
- Acting as the liaison for the Community Groups who hire the theatre
- Organising, attending and taking minutes for the quarterly evening Community Group forums
- Supporting Theatre Manager with booking hirers and issuing contracts

**Board support**
- Supporting the Company Secretary with tasks as and when required
- Assisting with preparation and planning of the Annual General Meeting
- Supporting with general banking administration
- Organising training for Trustees

**Person Specification**
- A keen and active interest in the Arts
- Excellent knowledge of Microsoft Office including Word, Excel and PowerPoint
- Experience of CRM systems
- Demonstrable administration experience in a busy office environment
- Experience of minute taking
- Excellent numeracy, literacy and organisational skills
- Ability to work accurately under pressure
- Good time management and ability to prioritise
- A positive attitude with a high level of self-motivation
- Be proactive about own training and personal development

**Terms**

Hours: 12 hours per week

Holiday: 20 days per annum plus bank holidays on a pro rata basis

Probation: Six months

Contract type: Permanent

Location: Based at the theatre with some opportunity for flexibility
