**Full Time - Hybrid working - 3 days office/2 days home**

**37. 5hrs per week 8am to 4pm Monday to Friday**

**What You’ll Be Doing**:
The Administration Assistant will provide administrative support to our client’s FCS department & Environ Finance Supervisor working across the FCS and Environ departments.

**During a Typical Day, You’ll**:
Oversee the day to day running of the department together with control over all specialist tenders, including

**SCRAP & VEHICLE ADMINISTRATION**
- Invoice all scrap material from our client’s company and other external locations
- Update SharePoint with monthly sales documentation
- Control and manage the Environ customer Terms and Conditions
- Record all material traded each month from Environ & our client’s Plants
- Record documents required for the mutilation of Prototype material
- Processing and recording of Monthly Tenders and Specialist Tenders for all our client’s UK plants and external locations
- Raise credit notes and assist with maintaining customer information file (waste carriers license etc)
- Prepare and update monthly plant volume and revenue trackers daily for review by Senior Manager
- Assist with preparing and updating Desk Procedures and other admin duties

**FINANCE**
- Assist in preparing and input of monthly journals into PeopleSoft General Ledger
- Account Reconciliation for Environ
- Prepare month end financial reports for presentation to Senior Management.
- Meet regularly with Finance Controller to provide briefings on month end and reconciliation status.
- Work alongside the Supervisor to ensure there is full control and ownership of month end financing.
- Prepare all month end Journal Vouchers for Environ UK.
- Calculate expense accruals for month end for Environ.
- Input journals into the People Soft General Ledger
- Produce Journal Check Sheets
- Calculate vehicle and scrap reserves/postings
- Prepare and oversee the month end process including Finance reports for presentation to the FCS & Environ Finance Controller
- Prepare monthly reconciliations for Environ
- Assist with the process of department Purchase Order Process

**GLOBAL ASSET MANAGEMENT (GAM)**
- Coordination of GAM tooling tender process in Europe
- Liaising with the GAM Management Team regarding new EU1520 (authorisation of mutilation)
- Liaising with our client’s Suppliers to obtain data, prior to tender distribution to approved customers
- Updating of the 1 Pager report to present to the GAM Management team for weekly meetings

**What You Bring to the Role**:

- Previous practiced administrative experience is essential
- Previous experience of PeopleSoft or SAP general ledger
- Proficient user of the Microsoft Office suite (Word, Excel, Outlook)
- Professional telephone manner and strong communication skills
- Ability to understand, create and present reports using Excel
- High levels of accuracy and strong attention to detail for written communication

**Skills**
- Excellent administration and organisation skills
- In depth understanding/knowledge of SharePoint
- Ability to work alone with financial or complex information
- Ability to work to tight deadlines
- Excellent written and verbal communication skills
- Excellent organisation and time management skills
- Specialist reporting system knowledge would be desirable
