**The Role**

This is a new role, introduced to support the administrative team in meeting the needs of our growing student body. The Student Services Officer will support the activities of the College’s Main Reception, specifically serving the needs of our students and their parents through communications, accurate record keeping and daily response to student requests. This role will act as the primary point of contact for daily enquiries by students. Our students are predominantly international boarders and the Student Services Officer will support the work of the Head of Boarding and boarding houseparents in ensuring that our students are well cared for and that their parents are well informed. The Student Services Officer will be instrumental in ensuring that the arrivals and induction processes are smooth.

Broadly, this role will support the effective running of student-focused processes including those related to Arrivals and Induction; Communications and the Super Curriculum.

Specific areas of responsibility within these areas will include, but not be limited to:
**Arrivals and Induction**
- proactively communicating with agents, parents and guardians, from confirmation through to arrival in campus to ensure a smooth student experience;
- supporting the admissions team in collating information from parents and guardians regarding newly enrolled students pre arrival; ensuring safe keeping of visa and identity documents and uploading such information onto ISAMS as required by the Director of Admissions and Marketing and / or the Head of Boarding;
- supporting the Director of Admissions and Marketing and / or the Head of Boarding in ensuring the smooth running of induction processes at the start of Autumn and Spring terms, keeping students and their parents / guardians well informed about processes and ensuring wider communications about student needs and arrivals;
- managing transport bookings for the start and end of term including airport transfers and ensuring accurate record keeping and recharging to individual students;
**Super Curriculum**
- the administration of individual and small group lessons in modern foreign languages and musical instruments; managing the timetable of these lessons and communicating this to students and staff members, including sending reminders; keeping accurate records to inform the HR Manager regarding teachers’ hours and the Finance Manager to inform student invoices for these lessons; liaising with visiting teachers;
- supporting the Super Curricular Manager in the administration of super curricular activities including trips and visits; managing bookings, invoicing and billing for these trips and activities; liaising with outside agencies and suppliers; researching options and seeking quotations to ensure value for money; completing administrative tasks relating to risk assessments; letters to parents; collation of parental permissions;
- assisting the administration and organisation of student events including end of term socials and concerts, liaising with catering and maintenance departments as required;
- supporting in the booking of transportation for super curricular events and for individual students, including airport transfers, minibuses and coaches; keeping an accurate record of transportation booking for accurate billing and assigning to departmental budgets;
**Communications / Other**
- supporting the Head of Boarding and Deputy Principal Pastoral and Wellbeing with communications to parents and guardians, including seeking permissions and collating pre arrival information;
- making appointments for students including medical appointments, in liaison with the boarding team;
- supporting the Director of Studies in the administration of parent teacher consultation meetings, including responding to parental queries; advertising the events and ensuring the smooth running of meetings;
- supporting the Reception team with administering and recording student attendance, following up attendance records and absence notifications from parents / guardians and accurately tracking student arrivals and departures at the beginning and end of term; and
- deliver administrative support on an ad-hoc basis as a proactive member of the administrative team on campus.

- customer focused with a proven track record of excellent customer service;
- excellent and proven IT literacy skills using MS Office;
- excellent communication skills;
- knowledge of ISAMS an advantage;
- educated to degree level an advantage;
- a team player, working closely with a range of colleagues from across the College;
- an excellent communicator, able to communicate with parents, students and visitors from diverse backgrounds;
