Communications Assistant

We are seeking to appoint an enthusiastic Communications Assistant to work in our busy Communications team which delivers an extensive programme of internal communications, events, digital, media and graphic design to support and promote the work of the James Hutton Institute.
The successful applicant will support key aspects of the Communications teams work, mainly focusing on internal communications, in addition to providing support at events and assisting with general administration for all areas of the communications team.
Previous experience in a similar job could be useful but is less important than enthusiasm and a willingness to get involved in all aspects of our work.
This post is based in Invergowrie, Dundee, however there will be a requirement for occasional travel to our Craigiebuckler, Aberdeen site as well as attending events around Scotland.
The postholder will generally be expected to work a minimum of three days on site with the opportunity to work the other two days at home unless required on site to perform duties of the role as required.

**Main Purpose of Job**
The Communications Assistant will be expected to:
- Provide high quality support to our Internal Communications Officer by creating and maintaining effective communication within the organisation, in order to contribute to the overall goal of fostering a positive and informed workplace environment.
- Provide support at events, to assist with set up and smooth running of our events programme.
- Provide administrative support for public affairs visits.
- Assist in maintaining the Communications Team’s work planner to ensure all projects are scheduled and up to date.
- Be responsible for the preparation of reports, based on information collated from the team on activities and performance.
- Provide support to the whole team as directed by line manager.
**Main Duties of Postholder**
- Collating and issuing engaging and informative content for various internal communications channels including the weekly newsletter and monthly mailers, managing the staff intranet, digital screens, monthly meetings and other platforms.
- Assisting with displaying information on site through signage and noticeboards.
- Monitor feedback and assist in implementing improvements based on employee suggestions.
- Assist at events which includes manual handling such as carrying equipment and setting up, helping with general event duties on the day and dismantling afterwards.
- Provide administrative support for public affairs visits and receptions by setting up meetings online and in person, liaising with external stakeholders including government and industry officials, developing call sheets, arranging logistics and circulating materials for events and taking a note of any actions afterwards.
- Support in keeping the communications planner up to date which details tasks and activities of the team on a daily, weekly and monthly basis and producing the agenda and issuing action points from comms team meetings.
- Assist with collating information from the team to report back to other departments.
- Provide general administrative support by raising purchase orders, processing invoices and other general administrative tasks as required.
- Co-ordinating the monthly external mailer to contacts informing them of latest events and developments from the Hutton.
**Qualifications/Skills/Knowledge**
**Essential Qualifications**
- A or B pass in Higher Grade English or equivalent and two further Higher qualifications
**Desirable Qualifications**
- HNC/HNC in related discipline
**Essential Skills**
- Excellent written and verbal communications skills
- Strong organisation skills and the ability to coordinate multiple projects simultaneously, whilst working to tight deadlines.
- A commitment to maintaining confidentiality and handling sensitive information with discretion, especially in the context of internal communications.
- Good attention to detail and accuracy
- Being creative, proactive, and flexible.
- Ability to work as part of a team and use own initiative.
- A working knowledge of Microsoft Office
**Desirable Experience**
- Previous experience in providing administrative support
- Previous experience of coordinating providing or supporting events
- Previous experience in using software for newsletters, mailers or project management
**Additional Notes and Requirements**
- Willingness to ‘get stuck in’ to whatever appropriate task may need doing in the context of Communications activities - events tend to give rise to many and varied ad hoc tasks.
- The role may occasionally involve weekend or evening work during our events season.
