**Job Title: Personal Assistant to Deputy Director of Human Resources (HR)**

**Salary: £32,194 to £34,452 plus a Location allowance of £1,721. You will receive £32,194 the band minimum. Progress to the band maximum of £34,452 will be via incremental progression.**

**Location: New Scotland Yard, Westminster**

**The role holder will provide secretariat support to the Deputy Director of HR primarily, as well as providing ad-hoc support and cover to the Director of HR and HR Senior Leadership Team (SLT). The role holder will provide a comprehensive, confidential, and professional support service in all aspects concerned with the efficient and successful operation of the HR Directorate.**

**Key Responsibilities**:

- Diary management
- Mailbox management
- Responding to queries on behalf of the Deputy Director of HR
- Organising events, conferences, and meetings, including the booking of venues, travel, and accommodation
- Meeting and greeting visitors at all levels of seniority, internal and external to the organisation
- Drafting papers on behalf of the Deputy Director of HR
- Preparing documents, presentations, and other materials to a clear brief, using established formats, at a strategic level
- Preparing analysis, manipulation, and interpretation of data, at a strategic level
- Circulating papers prior to meetings, taking minutes and actions at various meetings
- Prioritising tasks and deadlines to ensure all are delivered on time by the Deputy Director of HR
- Using the HR governance framework to plan work and decisions required at both corporate and HR boards
- Ensure appropriate systems and processes are developed and maintained to support effective and efficient day-to-day running of the HR Directorate

The role is ‘front of house’ for HR and often forms the initial contact point. Communication is hybrid, including both face-to-face and online interactions.

Key stakeholders include:

- HR Senior Leadership Team and colleagues across the HR Directorate; daily. Enabling the delivery of the HR functions priorities.
- Senior Leadership and Management Board; daily contact - purpose of which ranges from co-ordinating HR objectives and priorities in support of business group risks / delivery, diary management, and event planning. Responding to high-risk queries and complaints and managing expectations.

Essential:

- Experience of providing designated support at managerial level in a range of organisations.
- Proven experience of organisation, diary management and planning skills.
- Organised with ability to prioritise own workload effectively, to co-ordinate activities and conflicting demands to ensure that tight deadlines are met.
- Effective communication skills, with the ability to work well with range of people at all levels, stakeholder management.
- Good ability to develop strong working relationships with stakeholders at all levels of the organisation and externally.
- Strong computer literate skills, with extensive demonstrable experience of Office software packages (i.e. Word, Excel and PowerPoint).
- Ability to use own initiative, be proactive and deal with specific queries as they arise.
- Attention to detail and practical experience of gathering, analysing, collating complex and confidential information.
- Diary management experience, booking meetings and venues.
- Taking minutes at meetings.
- Practical experience in gathering, analysing, collating complex and confidential information as required.
- Drafting responses to HR queries.

Desirable:
Good understanding of a HR function.
