**Job Title**: Assistant Examinations Officer
**Responsible to**: Bursar, via the Examinations Officer and Deputy Head (Academic)
**Responsible for**:Assisting the Examinations Officer with the administration and organisation of all aspects of internal and external examinations in accordance with the regulations laid down by the awarding bodies.
**Key contacts**:Pupils, teaching staff and other members of the examinations team
**Location**:Stockport Grammar School
**Hours**: Term-time (15 hours a week). You will also be required to be in school for the period around A Level and GCSE Result’s Days in August.
Given the nature of the examinations schedule, it is envisaged that hours can be spread across the year to allow for more time in examination periods themselves so a degree of flexibility on the part of the postholder is therefore expected. Hours will be pre-arranged in advance and any extra hours worked will be gained as TOIL. Overtime will be paid where appropriate.

The role of Assistant Exams Officer is critical and you will contribute to the effective delivery of a high-quality examinations service, including the registration, collation and management of all examinations, assessments and certification. The role requires working closely with academic and support staff to ensure that an accurate and responsive service is provided.
You should have experience of working in a busy administration environment, and ideally within an education setting with a good working knowledge of Microsoft Office packages
(Word, Excel and Outlook). Knowledge of iSAMS is preferred but not necessary as training will be given. You should have an excellent eye for detail, be proactive and used to taking the initiative as you will cover for the Exams Officer at times.
You should be able to work flexibly to include early starts and late afternoons to adjust to meet the changing needs of the examination timetable.
This role will deal with sensitive and confidential material and discretion should be maintained at all time.

**Main duties and responsibilities**
The following list of responsibilities are not exhaustive and the Assistant Exams Officer should be willing and able to assist with any area at any time, as directed by the
Examinations Officer.
Examples might include:
- At the beginning of the academic year print sufficient copies of the JCQ and Cambridge
ICE booklets.
- Print and laminate sufficient copies of the updated JCQ and Cambridge exam room posters.
- Post various notices on pupil notice boards (NEA rules, social media policy etc.)
- Support with distribution of pupil statements of entry. Post copies of timetables to pupil and staff notice boards and relevant staff areas.
- Once certificates arrive into the school coordinate the checking and distribution ready for the presentation evening. Arrange to post any certificates that haven’t been collected.
- Collate a summer timetable based on provisional timetables once the information is released by the exam board.
- Liaising with all staff, (e.g. Heads of Department) regarding entries for GCSE, IGCSE, A
Level and other public examinations (e.g. BMAT, LNAT etc.) as required by the Exams
Officer.
- Responsible for ordering examination stationery and exam room materials. Ensure all resources are stored in a well-organised manner.
- Assist in the daily running of internal and external examinations. This will include ensuring that all required materials are in the examination rooms for the start of the examinations in accordance with regulations, completing daily check lists, seating plans and desk cards.
- Collecting and despatching completed external scripts against the attendance sheets in accordance with the regulations.
- Assist in arranging invigilation via Sling.
- Briefing invigilators at the beginning of an exam session in the Exam Officers absence.
- Cover for team members due to absence.
- Monitor exam rooms at the start of an exam session, assisting invigilators with any queries.
- Assist in the preparation of relevant paperwork for results days.
- Assist in processing enquiries about results and requests for reviews of marking and the return of scripts.
