**Job objectives and responsibilities**

**Objective**: The Training Support team are an integral part of Learning and Development, proudly supporting Mitie Care & Custody to ensure new and existing colleagues are appropriately trained to fulfil their role and developed to their full potential. To **provide an efficient and professional support service to the Care & Custody Training team. Be disciplined and adaptable, show a 'can do' attitude with a passion for facilitating a great learner experience, delivering the exceptional, every day. **As a role model, you must be inclusive, positive and engaging, advocating the principles of ‘You are Mitie' in everything you do going the extra mile for your students.

**Responsibilities: To assist in the smooth running and operations of the training support team and training department within Care & Custody**

**Main duties**
- Providing first line support to the Regional Training Teams to enable delivery of operational training.
- Liaising with key stakeholders to support inductions, training and events eg Recruitment team, Vetting team, HR and Payroll, Facilities Manager, Finance, external suppliers & IT
- Raising Purchase Order requests in line with the purchasing policy and manage department costs
- Managing the scheduling of all initial training courses, DCO refreshers, OSO (ITCs) including venue booking, accommodation, travel, delegate invites and course confirmations
- Supplying training materials, tablets, stationary, badges, graduation packs, certificates and new starter ‘toolkits' to Trainers, maintaining and replenishing stocks
- Tracking all training activity both internally and externally within Care & Custody, maintaining training records and recording key MI ensuring that training history is accurate, complete and up to date
- Scanning, filing and recording of all paper records into electronic versions
- Tracking the vetting progress of all ITC students and liaise with Cataphract to ensure completion of the security clearance process by the end of an ITC.
- Attending ITC's to engage with new learners, keeping regular contact whilst on programme and supporting with escalations and interventions where required
- Reporting ITC leavers, no shows, removals and referrals to Payroll and Recruitment to prevent salary over payments
- Track apprenticeship activity and recording key MI ensuring that audit trail and history complete and up to date, to include cancellation and evaluation data
- Be involved, lead and work on AdHoc projects within the team as and when required.

**Person Specification**

**Essential**
- Mnimum 2 years experience in a people facing administration role
- Minimum 1 year's experience in a fast paced ever changing environment working autonomously and remotely within a wider team
- Advanced / Intermediate level IT skills to include Outlook, MS Word, Excel & PowerPoint
- Highly detail conscious, concerned about accuracy and quality
- Strong listening, verbal & written communication skills
- Naturally organised with sound ability to prioritise work load independently undeterred by changeable deadlines and targets/KPI's
- Intrinsic professional customer service skills demonstrated through job based experience
- Knowledge and experience of writing processes and procedures
- Team player
- Drive, resilience, enthusiasm and a proactive, ‘can do' attitude
- Flexible approach and accepting of change
- Willing to travel and do occasional over night stays

**Health and Safety responsibilities**
- Follow Group and company policies and procedures at all times;
- Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment;
- Use all work equipment and personal PPE properly and in accordance with training received;
- Report any issues or training needs to your Line manager and /or via your divisional incident reporting system;

**Information Security**
- Ensure compliance with Mitie's information security procedures in all activities;
- Proactively identify and report security risks to your manager;
- Report actual and suspected security incidents;
