**first4care **is a private Ambulance service provider based in Nottinghamshire. We provide Special Educational Needs and Patient Transport Services across six counties. **first4care** provides ad-hoc and contracted Patient Transport Services under contract to NHS trusts, clinical commissioning groups and other independent ambulance services.
There are 89 colleagues in the SEN team and 98 in the PTS team. Our fleet consists of about 85 ambulances, and we are acquiring more.
**Job Summary**
An exciting opportunity has arisen for a motivated and enthusiastic individual to work within our office team, with a variety of duties.
We are looking for applicants who have good IT and communication skills and can work as part of a team and on their own. Most importantly has a can-do attitude and is keen to learn and achieve high standards. This role requires strict attention to detail, and the ability to maintain confidentiality. You will be well supported in the work environment by an experienced and friendly team.
This role will provide experience, variety and insight in working within the healthcare sector presenting an excellent opportunity for those considering a career in an Health and Social Care setting.
This role will involve a range of general administrative tasks to include, answering the telephone, booking training courses, creating Excel spreadsheets and entering data, arranging meetings and any other duties relevant to the post.
The role requires someone who can positively handle the pressure of working to deadlines and delivering excellent customer service whilst enthusiastically engaging with crews and dealing positively with the challenges facing the fulfilment of the rota.
The position needs a competent computer user with the ability to multi-task and communicate effectively (both verbally and in writing) with operational crews, colleagues, customers and management.
**Main duties of the job**
The main duties of the role include (please refer to the full Job Description and Person specification)
- Administer the recruitment process and keep staff records up to date
- Perform monthly reviews of Staff & Training records to ensure dates don’t expire
- Maintain stocks
- Administration of Incident Reports, complaints and compliments obtaining initial facts of incidents
- Daily customer service enquiries.
- Covering the Duty Phone on a rota system supporting crews and customers with urgent queries
- Filling in rota Gaps in the absence of the Planning and Liaison Co-Ordinator
- Liaising with crews and customers
- Review KPI reports and evaluate performance. Provide feedback for monthly Operations meetings to influence improvement through change/training etc.
