**Job Summary**:
- To provide administrative functions to the Attendance Service in relation to
- Attendance,
- Penalty Notices,
- Referrals and other Attendance enforcement processes,
- Charitable grants.
- Child Performance and Chaperone Licenses and Body of Persons Approvals (Child Licensing) as defined by the local authority
- To ensure that Child Licensing legislation and guidance in relation to Child Performance and Chaperone Licenses and Body of Persons Approvals are adhered to in order to ensure that the local authority meets all statutory timeframes and that all Lewisham children and young people are effectively safeguarded.
- To be a point of contact for Child Licensing communications, queries and Child Performance and Chaperone Licenses and Body of Persons Approvals related interviews.
- To support the delivery of statutory duties in relation to Children Missing Education and the off-rolling of children in line with the Education (Pupil Registration) Regulations 2006 and amendments.
**Sample of Key Duties/Accountabilities**:
- Receive, sort and distribute incoming and outgoing post (including via electronic systems).
- File records in an accurate and timely fashion and maintain electronic or paper filing systems.
- Photocopy, fax, scan and index documents to ensure information can be distributed to intended recipients.
- Collate, print and distribute documents or materials as required.
- Organise and support the delivery of events and training courses (including booking venues or catering and arranging travel/accommodation).
- Organise staff visits, meetings and case conferences (including preparing papers and inviting attendees).
- Take accurate minutes at meetings, panels or other events (including more complex or sensitive situations), ensuring confidentiality is maintained at all times.
- Manage internal queries and information requests (only referring more complex queries to team leaders).
Raise Purchase Orders (PO’s) and process invoices and be responsible for authenticating invoices and payments in accordance with the Council’s financial procedures and regulations.
- Undertake general office management tasks, including supporting Business Continuity and Health & Safety processes, completing Display Screen Equipment (DSE) or other risk assessments and maintaining corporate registers or contract lists.
- Coordinate data collection for leave and sickness absence as required by Team Managers or Service Managers.
- Coordinate induction and training sessions for new staff (within services and the corporate business support service)
- Be aware of and comply with policies and procedures relating to safeguarding, child protection, health, safety and security, confidentiality and data protection (reporting all concerns to an appropriate person).
Provide basic information on individual services, processes or legislation/procedures and signpost to other sources of information (including relevant officer or service).
- Receive, log and process Attendance, Child Employment referrals, ensuring that the correct information is obtained and/or accurately recorded on relevant systems.
- Maintain and update customer information on systems and databases (including setting up cases).
- Prepare, files and related documents for the Local Authority’s Final Attendance Panel (LA FAP).**Additional information to note**:
