Project Support Support the Programme Management Office (PMO) in delivering the expansion of the TLHC programme and developing the infrastructure of the programme. Support the maintenance of programme/project documentation and records including maintaining filing systems, supporting the creation and maintenance of programme products/tools i.e. highlight reports, mandates, programme plans, risk registers, issues logs, and action plans. Support the maintenance and tracking of the programme/projects, including scheduling of reporting and programme submissions, creation of databases, action logs and pathway/governance visuals.

Support in the processing and presentation of quantitative and qualitative data to support analysis of programme activity, specifically to support reports and presentations. Support reviews of programme and project activity as required to support the PMO in managing the overall programme delivery and evaluation. Support the PMO in recording, updating and tracking of related documents in the development of the infrastructure of the expanded TLHC programme. Administrative Responsibilities Provide a high standard of administrative and secretarial support to the PMO Team, Project Teams across each place and the relevant steering/delivery groups that evolve as part of this programme of work.

Organise and maintain an efficient, effective and up-to-date filing system and shared working space to ensure information is kept securely. Develop and proactively manage stakeholder maps and contact databases. Analytical and Judgement Skills Make judgements and provide information involving a range of job-related facts or situations some of which require analysis and comparison of a range of options. Assess and prioritise own workload within given timeframe, to meet project schedules.

Identify errors or problems, take action as necessary to resolve and/or notify line manager. Support projects developing and identifying resources required, ensuring all materials and resources are current and appropriate. Communication and Relationship Skills Develop and maintain effective relationships with colleagues and other stakeholders from a wide variety of partner organisations, ensuring clear and effective channels of communication. Assist with coordinating an effective change control process, consulting with key stakeholders as necessary.

The post holder will provide and receive complex sensitive information including highlighting difficult and controversial issues to the Programme Manager. Ensuring that all communication reflects our values and that all queries from service users, the Public and colleagues are dealt with in a timely and effective way. Ability to communicate with people at all levels, liaising externally with stakeholders as required, delivering complex information and administrative matters requiring developed interpersonal and oral / written skills. Ability to produce comprehensive draft reports and minutes.

Work within defined policies, procedures and standards to undertake any other duties appropriate to the grade and position, which may from time to time be required or delegated. Deal with queries from both NHS and partner organisations in a professional and sensitive manner, ensuring confidentiality at all times. Develop and maintain close collaboration and co-operation with our partner organisations.
