**Role**
The IT Service Administrator will act as the personal assistant to the university’s Chief Information Officer and will provide administrative support to the IT Services Executive. They will oversee the administration of the department’s licensing, purchaseorders and invoicing.
This role is full time, Monday to Friday, until the end of April 2023 in the first instance although continued employment is a possibility.

**Duties and responsibilities**
- Provide administrative assistance to the CIO, including:

- Control of their diary and maintenance of their schedule;
- Arranging meetings on behalf of the CIO;
- Identifying and securing appropriate facilities for meetings, both in-person and online;
- Arranging travel and accommodation as appropriate;
- Oversight of the CIO’s incoming messages and demands, controlling the CIO’s workload by appropriately assigning work across the department;
- Screening and directing phone calls made to the CIO.
- Provide administrative support to the department’s Executive, including:

- Arranging meetings on behalf of the Executive; identifying, securing and arranging appropriate facilities for the same;
- Production and dissemination of minutes from Executive meetings.
- Conduct administration of the department’s licenses, purchase orders and invoices, ensuring that:

- Licenses are managed in a compliant and timely fashion by the person best placed to decide on their implementation, renewal or discontinuation;
- Purchase orders are completed correctly, only produced for approved purposes, and sent in a timely manner;
- Invoices are generated, distributed and paid in appropriate timescales, and that late payers are hastened.
- The post holder will undertake other responsibilities and tasks as reasonably requested by the CIO.

**Skills and experience**
5 GCSEs (or equivalent) including Mathematics and English Language at Grade C / 4 or above
Demonstrated knowledge of office management systems and procedures
Familiarity with licensing, invoicing and purchase order processes
Ability to multitask and prioritize daily workload
Excellent verbal and written communications skills
Discretion and confidentiality
Outstanding organisational and time management skills
Personable, proactive and able to demonstrate unerring good judgement
Ability to adhere to the university’s Equality Policy
Desirable:
A levels or equivalent
Hold a relevant professional qualification in administration (such as City and Guilds Level 4 Diploma in Business and Professional Administration, or similar), and be able to demonstrate 3 years’ experience in this field
