Sleep Medicine Clerical Administrator

The Sleep Medicine Department is seeking highly motivated, patient centred individuals to join the team as Clerical Administrators.
As the services first point of contact you will greet patients both over the telephone and in department as well as liaise with a variety of multi-disciplinary professionals.
You will integrate into the established clerical team working both independently and as part of the team in a busy department serving around 4000 long term Continuous Positive Airway Pressure (CPAP) users.
Your day-to-day roles will include answering telephone queries and forwarding messages to appropriately trained staff where required, arranging collection and postal deliveries of CPAP user consumables and supporting the collection of sleep service equipment.
You will keep up to date records of any communication including on our web based Telemonitoring platform. You should have proficient IT skills including Microsoft Excel and be able to undertake a variety of administration duties including photocopying, scanning, filing and booking appointments.
You will assist in the decontamination of returned equipment following appropriate guidelines and using personal protective equipment (PPE) provided as well as maintaining stock levels across the department.

Key results from the job holder
- Act as first point of contact for all telephone and reception enquiries, ensuring that messages are forwarded to the appropriate persons and visitors are welcomed to the department.
- Provide an effective clerical service to support the team, including photocopying, data input and posting out of equipment.
- To book all patient follow-up appointments in accordance with clinic rules and deal with enquiries from the general public and other disciplines of staff regarding clinic bookings.
- To be responsible for the recording of all clinic outcomes and other information within agreed deadlines.
- Effective liaison with multi-disciplinary team ensuring accurate information is communicated as and when required.
- Deal with walk-in patients to clinic and assist members of the medical and nursing staff with any queries during the course of the clinic.
- Provide outpatient clinic lists and booking summaries for nursing staff.
- Contribute to the ordering of stationary supplies and associated procedures.
- Contribute towards service improvement initiatives to enhance quality of patient care.
- Assist in maintaining equipment and decontaminating in accordance to Infection Control.
- To provide any other duties that may be required relevant to this grade

- Demonstrate awareness and sensitivity of patients with hearing difficulties and where patient’s language is not English
- Receive and process telephone messages in accordance with instructions

- Maintain accurate, timely and legible records
- Responsibility for all records (including patient health, financial, personal and administrative) that they gather or use as part of their work within the Trust. The records may be paper, electronic, microfiche, audio or videotapes, x-ray images
