To provide extensive secretarial, administrative and reception support to the Orthotic Service at Crawley and Horsham and Bognor Hospitals.

To work closely with all members of the Orthotics team, outside stakeholders, patients, and carers

To actively engage with patients and carers to ensure a smooth and stress-free patient pathway.

To provide a full word processing service to agreed time scales and to a high standard of accuracy and presentation. Become familiar with specialist orthotic medical terminology.

To deal efficiently with telephone and face to face enquiries and support the whole team in managing patient enquiries in relation to their treatment.

To operate the patient administration system including retrieval of patient information. Booking and re-arranging appointments, updating patient details and adding new referrals.

To liaise with the IT system team or the patients GP to amalgamate duplicate registrations and solve other registration queries.

To communicate clearly and effectively with other professionals, outside agencies, and patients.

To update and amend patient details as necessary.

To work as a part of the office team participating in the general running of the office.

To ensure patient information remains confidential and that patient records and the reception area are secure to ensure confidentiality.

To make new and follow-up patient appointments for Orthotists, Podiatrists and Podiatric Assistant using the computer based booking system or using other approved procedures.

Financial responsibilities include petty cash and not wasting resources.

In the absence of the office manager the post-holder will be responsible for other administration staff. There is a general responsibility for volunteer staff working With the Administration team.

The post holder may have tasks or responsibilities delegated to them, appropriate to their level of competence. They may also be expected to delegate tasks or responsibilities to other staff, as appropriate.

The Delegation Policy sets out the expectation of staff regarding the safe delegation of clinical care and therapeutic interventions to unregistered practitioners and support workers.
