We are currently looking for a Programme Administration / Support Service Administrator

Job profile:

To work as an active member of the Programme Administration and Support Service, providing professional and effective administrative services that support the delivery of the academic programmes, acting as a point of contact for students, academic staff, and external partners and stakeholders (as appropriate) associated with these programmes.

Main duties:

1. Respond effectively to enquiries from students and other internal and external service users, taking appropriate action to ensure a resolution, signposting to academic staff members or other professional and academic services where necessary, whilst delivering a friendly and effective service. Liaise with Programme Administration and Support Service Advisers and Team Leaders to respond to more complex queries and issues.

2. Apply a good working understanding of the assessment and other student-facing policies, processes, and procedures.,

3. Work with colleagues in Schools and Registry to deliver assessment-related administration, including coordinating the submission and management of student assignments, the generation of mark sheets and monitoring and the processing of extensions and exceptional circumstances requests.

4. Gather and collate data and information from a variety of sources, using routine procedures, spreadsheets and databases. This will support the delivery of academic programmes, School Assessment Panels and Boards and other assessment and academic-related processes and procedures such as student attendance monitoring, case consultations and standards reviews.

5. Organise in person and online meetings with students, academic and other professional services staff, and external stakeholders (where appropriate), including: the preparation and circulation of papers; recording accurate notes, minutes or action logs; disseminating information; booking space, equipment, and catering; and setting up relevant digital platforms (e.g., MS Teams).

6. Organise and book programme-based trips and other programme-based activities for students and academic staff members in accordance with established University policy, procedures, and systems, including travel and accommodation booking, checking relevant documents, tracking progress, and ensuring that required deadlines are met (e.g., submission of passports, risk assessments, itineraries, and traveller details).

7. Maintain student and academic data and records to the highest standards of accuracy

8. Work in partnership with the Marketing, Student Recruitment and Admissions directorate and academic colleagues to support student recruitment and conversion activities, in particular interview and portfolio days.

9. Liaise with external examiners as necessary, including undertaking administrative tasks as required.

10. Support and assist with programme-based activities and events such as enrolment and induction, graduate shows and graduation ceremonies.

11. Actively participate in the team and collaborate with colleagues across the business, sharing information and supporting colleagues to ensure the effective and consistent application of processes and provision of appropriate support to students.

12. Create an inclusive environment that welcomes and supports all students.

13. Regularly liaise with Team Leaders to ensure an appropriate balance of work, address any issues that arise relating to the above tasks and assist with process improvement and projects, as required.

14. Undertake a full range of administrative duties including filing and circulating email.
