Purpose

To provide clerical support to the Headteacher and Business Manager of this small GOOD school. A welcoming department and friendly school. This is a great opportunity to learn FMS and enhance the role of admin assistant.

The School Business Assistant will support the School Business Manager and Headteacher in the provision of high quality, efficient HR and Finance service for the school. The finance aspect of the role will include inputting information in the school’s financial management system and placing orders. The HR part of the role will provide effective support with a focus on recruitment, employee records, policies and operational HR.

Duties and responsibilities

• Assist in updating manual and computerised record/information systems (FMS/SIMs)

• Assist in updating and maintaining the school calendar (Office 365)

• Assist with managing the school’s email inbox, ensuring the school meets its expected response times and emails are forwarded to the relevant staff member as necessary

• Assist in managing and organising completed forms from parents

• Report any issues with the school’s IT systems

• Assist in and organise/distribute incoming and outgoing post

• Assist in providing administrative support to staff as needed

• Order, monitor and manage stock, ensuring best value following the school’s purchasing processes

• Carry out filing, printing and photocopying.

• Keep records in accordance with the school’s record retention schedule and data protection law, ensuring information security and confidentiality at all times

• Assist in monitoring the late arrival of pupils and contact parents/carers to identify reasons for non-attendance, ensuring all safeguarding procedures are followed

• Assist in being the first point of contact for parents and visitors arriving at the school

• Assist in responding to telephone and face-to-face enquiries efficiently and in a professional and supportive manner

• Seek support from other colleagues where necessary to respond to complex enquiries

• Respond to messages promptly and accurately, passing on information to relevant staff members as necessary

• Assist staff and pupils with the information and support they need

The ideal candidate must have:
- Experience using SIMS
- Relevant experience in a school office
- Ability to learn
- Committed to aiding the school to achieve their goals
- Strong interpersonal skills

- Enhanced DBS on the update service (we can assist you to apply)
