ABOUT THE ROLE

The Logistics Manager role is pivotal to the successful delivery of the HPFF project around the world. You will be the lead and main point of contact for all movements of equipment and people required to deliver the project globally. The Logistics Manager sits within the Global HPFFE team and will report to the Executive Producer / Deputy Executive Producer.

The Logistics Manager will be accountable for the movements of the HPFF owned kits; leading on shipping and haulage strategies, assessing feasibility of suggested routing, inventory management, as well overseeing logistics for the Fever staff and suppliers who need to travel to deliver the project.

This is a Freelance position of 6 months .

LOCATION

The Logistics Manager will be based in the UK / Europe.

However there may be the opportunity to travel with this role.

DUTIES AND RESPONSIBILITIES

Logistics

  • Responsible for the master schedule outlining kit movements and routes.
  • Organise and oversee the delivery of kits to site.
  • Advising on best methods and timelines for movement of kits through proposed routes.
  • Lead on all shipping and customs with a keen understanding of locational nuances such as fumigation and quarantines.
  • Prepare relevant shipping paperwork and permissions such as carnet's, permanent export and shipping invoices.
  • Support the Global Team on import fees, tax and duties and give a strategic input on how to minimise costs globally.
  • Work closely with our internal logistics team to collate quotes and supplier options.
  • Support the Global Team in Visa processes for staff and freelancers, acquiring and delivering documentation.
  • Finding and managing storage spaces around the world when required.
  • Working with the Fever logistics team to assess the financial feasibility of proposed routes and shipping providers.
  • Implementing cut off dates for ocean, road and air movements for upcoming shows and ensure that these are adhered to by the wider team.

Delivery

  • Act as the main point of contact for all logistics relating to the production.
  • Responsible for ensuring all relevant contracts and insurance are in place regarding movement of equipment.
  • Responsible for managing budget lines related to logistics and optimising strategy to drive cost efficiencies.
  • Working with Global Production Manager to plan and manage all trucking requirements for the production, ensuring that kit arrives to sites on schedule and in good condition.
  • Working with the Global Production Manager to coordinate crewing requirements and schedule for cross-loading of equipment between warehouses and trucking companies.
  • Resolving any issues regarding movement of kits e.g. service quality not as agreed / contracted.
  • Accountable for flagging any delays to shipping / freight / trucking timelines which could affect the show delivery.
  • Oversee all logistics relating to movement of global staff and suppliers for the project including VISA process, site visits, load in / load out etc.

Inventory Management

  • Ensuring all existing and new kit purchases are logged on the DEER inventory system so that there is a live view of all HPFF owned assets at all times.
  • Coordinating regular audits of the kits and scheduling maintenance of all equipment to ensure all in working order.
  • In advance of the show, ensuring all outgoing inventory is functioning, clean and in a suitable condition for export. Arranging any repair or remediation works with relevant suppliers as required.
  • Post show, responsible for checking and recording incoming inventory, including any repairs required.

PREFERRED QUALIFICATIONS

  • Previous experience in a similar Logistics Management role for either a large scale events or entertainment company or global commercial supplier.
  • Understanding of global logistics in particular shipping processes and associated risks.
  • Knowledge of theatrical event production would be an advantage.
  • Previous budget management experience.
  • Strong negotiation and problem solving skills.
  • Ability to deal with stressful situations in a calm and professional manner.
  • Must be an effective communicator, team oriented and have strong leadership skills.
  • Comfortable working in a constantly changing environment.
  • Professional appearance and demeanour.
  • Must have experience in using Google Drive and the Google suite of applications including Sheets, Word, Google Meetings.
