Venue Operations Coordinator Uxbridge, UK

Salary: £30-34k (dependant on experience)

Position Overview

As a member of the Venue Operations Teams, the Operations Coordinator will work collaboratively to process work orders related to Labour and equipment requests of Venues, process service requests from Venues, and ensure effective demand planning. This position is administrative support to a cluster’s TEMs (Technical Events Manager) and their team members. This position reports to the Cluster Operations Manager, UK Venues.

Key Job Responsibilities
  • Ensures that projects/jobs are correctly structured and have all of the necessary information, including correct labour resources, skills levels, timing, sub-rental requirements, delivery and collection schedules.
  • Process Equipment Requests for cluster operations and respond to enquiries on AV equipment from TEMs and Operations Managers (ATEMs) check on availability, collaborate with cross functional teams to administer any last-minute revisions and change orders on Equipment Requests. Communicate changes to all relevant departments.
  • Documents, communicates, and ensures on-site teams are aware of any last-minute changes to plans and reports any scope of work changes to direct supervisor or TEM.
  • Process and effectively manage Labour Requests for cluster operations, with other cluster coordinators, and input internal / external resources on EasyJob Resource Planner in a timely manner.
  • Documents, effectively communicates work / shift information to internal / external labour workforce and reports any scope of work changes to direct supervisor or TEM
  • Processes Transport Requests to internal team, or alternatively to external supplier when instructed.
  • Processes Purchase Orders for approved resources as instructed by TEMs in the cluster or Operation Managers (ATEMs) in the cluster, and request approval from cluster Area manager or Regional Ops Manager.
  • Supports and assists in updating the Venues assets inventory database.
  • Adheres to the company’s mission, core values, and abides by Standard Operating Procedures.
  • With advanced communication and interpersonal skills, practices and maintains Encore’s high customer service methods and focus on quality.
  • Performs other duties as assigned related to Venue Operations Department.
  • Maintains a safe working environment by maintaining a clean, organized workspace.
  • Coordinate all operation requirements between Warehouse / L&E (Labour and Equipment) / Venue teams.
Job Qualifications
  • High School Diploma or relevant experience is preferred.
  • 3+ years in the event industry or similar is preferred.
  • Beginners’ knowledge of Microsoft Word and Excel
  • Communicate clearly both verbally and through computers, apps, and relevant software.
  • Experience at working in a collaborative team environment.
