Role Description

We are seeking a full-time Events and Marketing Projects Coordinator to join our team in London. In this role, you will be responsible for coordinating and managing various events and marketing projects for our investment distribution company. Your tasks will include planning and executing events, managing marketing project timelines and budgets, coordinating with external vendors and stakeholders, and ensuring the smooth operation of all events and marketing projects.

Characteristics & Qualifications:

  • Prefer prior experience in event coordination and/or marketing project management
  • Degree level preferred, but not essential
  • Strong attention to detail and ability to work under pressure
  • Excellent organizational and multitasking skills and ability adapt quickly to changes is essential
  • Proactive, able to manage workload independently, and take initiative
  • Strong communication skills to keep stakeholders informed and manage multiple priorities
  • Able to work independently and as part of a team
  • Availability to travel within the UK & Europe on an ad hoc basis and support stakeholders and clients with event needs

Key Responsibilities

  • Work with the team to identify relevant events
  • Arrange prep meetings for events with relevant fund managers
  • Communicate deadlines to marketing and sales teams to ensure presentations and other materials are complete
  • Maintain and manage the event calendar for the UK and Europe, including project planning and timeline development
  • Oversee all pre- and post-event logistics for a smooth execution.
  • Manage vendor relationships to secure services and resources for events
  • Work with the creative team and external agencies to help create compelling event collateral
  • Inform fund managers and sales teams throughout the event cycle to ensure alignment
  • Implement event plans with UK and Europe Sales teams, including industry and proprietary event organization
  • Define event agendas, book presenters, and arrange collateral with team inputs
  • Ensure event communications are effectively disseminated through appropriate channels
  • Handle onsite event logistics such as room setup, food and beverage, and presentation coordination
  • Project manage external suppliers for event resources and services
  • Conduct event research, including pre-event and post-event feedback analysis
  • Build relationships with third-party event providers in the UK and Europe to secure event bookings
  • Produce event invitation copy and materials, leveraging resources efficiently
  • Conduct market research to stay updated on event delivery and technology trends
  • Ensure compliance with all relevant regulatory obligations for events
