Main Duties / Purpose of Job / Function of Role

•Provide Reception Cover site as required – this will be dealing with Visitors to site, Contractors/Suppliers, Staff, and board Members etc.

•Monitoring of the Primary Fire Panel located in the Main Building Reception Office

•Organising and arranging of the Fire Alarm Testing on a daily basis for the various Fire Zones across the site

•Management of post (mail & courier) on a daily basis

•Telephony management – taking incoming calls and re-directing as required

•Making Tannoy announcements as and when required.

•Processing and management of invoices as and when required e.g. telephony invoices

•Provision of administrative support to the (Premises) Team

•Undertake any other duties as requested by the Head of Unit and / or Premises Officer

Specific Experience / Qualifications required

•Have 5 GCSE’s grade C or above including English Language and Maths or equivalent; and have at least 1 year’s clerical experience

•Effective communication skills given the duties entailed in Reception Cover (ie Meeting & Greeting Visitors, Tannoy Announcements) and day to day interaction with staff and visitors to site

•Be able to demonstrate competence in the Microsoft Office Package to include Word and Excel (given the duties required for invoice processing, records management and email correspondence)

•Ability to work as part of a team

•Be able to demonstrate an ability to work on own initiative
