We are looking for a Chinese and English-speaking HR Admin Assistant with exceptional organisational skills and a methodical approach to tasks. The ideal candidate is self-motivated and detail-oriented. This role involves managing visa procedures for our employees on short-term and long-term assignments (STAs), along with supporting vendor documentation to ensure a smooth and compliant process.

Key Responsibilities:

Visa Management: Provide full administrative support on the visa application process for short-term and long-term UK assignees.

Support and Advisory: Provide comprehensive support on visa-related queries, offering clear and informative answers to assist employees throughout the visa application process.

Process Streamlining: Create and maintain detailed checklists for all visa application requirements to ensure completeness and compliance.

Quality Assurance: Oversee the quality and successful submission of visa applications, verifying the accuracy and completeness of all documents.

Keep alignment: Track and report on visa application statuses, keeping all stakeholders informed of progress and any issues that arise.

Coordination: Act as the primary coordinator for all visa and work permit applications from China and Japan to the UK, ensuring timely and successful processing. Liaise with external partners, including immigration lawyers, to facilitate the efficient processing of visa applications.

Requirements

  • Fluency in both English and Chinese is essential.
  • Admin experience is advantageous.
  • Ability to work independently and with high self-motivation.
  • Exceptional organisational and planning skills, with a keen eye for detail.
