This well-established advertising agency are in search of an Office Manager & Executive Assistant to ensure the seamless operation of their London based office while providing vital support to our CEO and two Directors. This role is pivotal in maintaining and enhancing day-to-day operations, procedures and overall organisational effectiveness. As an integral member of the team, you will help cultivate a pleasant and efficient workplace, ensuring high levels of communication, safety, and professionalism.


Key Responsibilities:

Office Management:

  • office layout and space, maintain office condition and coordinate any repairs as required
  • orders for stationery, catering supplies, and equipment.
  • closely with external IT provider to manage IT support and equipment, the telephone system and contract
  • cleaning and maintenance contracts, negotiate any additional contract (e.g., security photocopier).
  • the operations budget, ensuring accurate and timely reporting.
  • as the out-of-hours emergency contact for the company and building security.

PA Support:

  • essential and strategic diary management for 3 C-suite level execs
  • and coordinate team meetings, manage team calendars, and schedule meetings, lunches, conferences, and events.
  • travel arrangements, accommodation bookings, and event registrations.
  • financial administration including reconciling credit card receipts and statements, and process expenses.
  • professionalism and strict confidentiality in all matters.


Key Requirements:

  • least 3 years’ experience in office / facilities management.
  • previous PA experience
  • time management skills, with the ability to multitask and prioritise effectively.
  • attention to detail and problem-solving skills.
  • written and verbal communication skills and the ability to manage different personalities and styles
  • reliable, and capable of building strong relationships with individuals at all levels.
  • organisational and planning abilities.
  • to work well under pressure and meet deadlines.
  • and unflappable under pressure
  • IT/ systems experience including MS package
