Role Description

The role for an Executive Assistant to the Chief Executive Officer at a long established hugely successful business in Liverpool with a UK wide client base.


We are seeking a highly organised and proactive Executive Assistant to support the CEO. The ideal candidate will possess exceptional communication skills, a keen attention to detail, and the ability to manage multiple tasks in a fast-paced environment. This role requires a professional approach, strong problem-solving abilities, and a commitment to providing high-quality administrative support.


Key Responsibilities:

  1. Administrative Support:
  • Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize materials for meetings, including agendas, presentations, and reports.
  • Take meeting minutes and ensure timely distribution to relevant stakeholders.
  • Handle incoming communications, including emails, phone calls, and correspondence, ensuring prompt responses when necessary.


  1. Project Coordination:
  • Assist in the planning and execution of projects, including tracking progress and ensuring deadlines are met.
  • Collaborate with various departments to gather information and provide updates to the executive team.
  • Conduct research and compile data for reports and presentations.
  1. Travel Management:
  • Arrange domestic and international travel itineraries, including booking flights, accommodations, and transportation.
  • Prepare travel expense reports and ensure compliance with company policies.


  1. Office Management:
  • Maintain an organized and efficient office environment, including managing supplies and equipment.
  • Oversee the onboarding process for new staff members, including coordinating training and orientation.


  1. Confidentiality and Discretion:
  • Handle sensitive information with the utmost confidentiality and professionalism.
  • Exercise discretion in decision-making processes and communications.


  1. Relationship Management:
  • Build and maintain positive relationships with internal and external stakeholders, including clients, vendors, and team members.
  • Serve as a point of contact for the CEO, fostering effective communication and collaboration.


  1. Administrative Projects:
  • Assist in the development and implementation of administrative processes and procedures to improve efficiency.
  • Support special projects as assigned, demonstrating flexibility and adaptability to changing priorities.


Qualifications:

  • Experience: Minimum of 5 years of experience as an executive assistant.


Skills:

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Excellent organisational and time management skills.
  • Strong verbal and written communication abilities.
  • Ability to prioritise tasks and manage multiple deadlines effectively.
  • Attention to detail and problem-solving skills.
  • Professional approach and ability to work independently as well as part of a team.


Working Conditions:

This position is a hybrid based with a minimum of 3 days per week in the office.
