Main Purpose of the Job:

The Events and Digital Administrator is responsible for coordinating and managing both virtual and in-person events, as well as maintaining the organization's digital presence. This role involves planning, organizing, and executing events that align with the organization's objectives, and ensuring a seamless digital experience across various platforms.

 

The administrator will work closely with the Events Manager to understand project goals and requirements, and produce compelling content for marketing, communication, and engagement purposes. The goal is to deliver high-quality events and digital content that meet BW needs and achieve desired outcomes, contributing to the ongoing development and execution of the organization's strategies in alignment with broader BW goals and objectives.

Responsible for:

 Assisting in the coordination and execution of events and helping manage digital content to effectively communicate messages, engage audiences, and support the organization's objectives.


Main Tasks of the Job

  1. Event Assistance and Coordination: Help in the planning, organizing, and execution of virtual and in-person events. Assist in developing event timelines and managing attendee communication.
  2. Digital Content Management: Assist in maintaining and updating BWs website and social media platforms for events including assets creation. Help create and schedule engaging content that aligns with the organization's branding and messaging.
  3. Marketing and Promotion: Assist in implementing marketing strategies to promote events and digital content. Help utilise email marketing, social media, and other channels to maximize reach and engagement for events.
  4. Stakeholder Engagement: Support collaboration with internal and external stakeholders to understand their requirements and preferences. Assist in incorporating feedback to ensure successful event and digital content delivery.
  5. Data Management and Analysis: Help monitor and analyse event and digital content performance. Use insights to assist in making data-driven decisions and improve future initiatives.
  6. Brand Consistency: Help ensure all events and digital content maintain brand consistency and integrity. Adhere to BW brand guidelines and standards while infusing creativity to differentiate and enhance engagement.
  7. Collaborative Teamwork: Work closely with colleagues to integrate event and digital elements seamlessly into broader projects. Communicate effectively and contribute ideas to interdisciplinary teams.
  8. Deadline Management: Assist in managing multiple projects simultaneously while adhering to deadlines and priorities. Help plan workflows efficiently to ensure timely delivery of high-quality events and digital content.
  9. Quality Assurance: Conduct reviews of event plans and digital content to identify and rectify errors, inconsistencies, or areas for improvement. Ensure final deliverables meet quality standards and project requirements.
  10. Continuous Learning: Stay abreast of industry trends, event planning techniques, and digital marketing strategies through self-learning, training programs, or professional development opportunities. Apply new knowledge to enhance capabilities and efficiency.

The above job description contains the main duties and responsibilities for this position. However, in a small organization such as BW, staff members are expected to show flexibility in their approach to work and be willing to undertake other tasks that are reasonably allocated to them but which are not part of their regular job description. Where any task becomes a regular part of an employee’s responsibility, the job description shall be revised in consultation with the employee and their direct line manager.


Qualifications and Skills:

  1. Experienced in event planning, digital content management, or a related role.
  2. Proficiency in event management software, CMS, and digital marketing tools, with a keen eye for detail and aesthetics.
  3. Good communication and interpersonal skills, with the ability to collaborate effectively in a team setting.
  4. Time management and organizational abilities to prioritize tasks and meet deadlines.
  5. Creativity, innovation, and a passion for event planning and digital engagement.
  6. Knowledge of marketing strategies, digital trends, and best practices.


Office Location:

The BW Team is currently working remotely. This role is UK based and you will be expected to travel in the UK as well as visit the London office in Vauxhall (Vox Studios, V124, 1-45 Durham Street, SE11 5JH) as and when required.

Working hours:

This is a full time, permanent position. A probation period of 6 months will be required. Working hours are generally 9am to 5pm, Monday to Friday.
