Role PurposeThe Executive Assistant will act as a trusted partner to the CEO and CFO providing high-level executive and administrative support. The role requires exceptional organisational skills discretion and the ability to operate in a fast-paced environment. The EA will manage diaries coordinate internal and external communications prepare board-level materials and ensure priorities are effectively managed whilst also managing the front of house reception duties and general office administration on behalf of the wider team based at our Stoke depot.Key ResponsibilitiesExecutive SupportProvide comprehensive EA support to the CEO and CFO anticipating needs and proactively managing diaries and priorities.Complex diary management including scheduling internal/external meetings site visits and travel arrangements (UK & international).Collate Board agendas and Board pack materials form multiple inputs and QCSupport with financial and business reporting coordinating input from multiple stakeholders.Maintain strict confidentiality on sensitive matters.Governance & Business SupportOrganise and coordinate Board meetings including agenda preparation and follow-up on actions.Support preparation for leadership and strategic reviews ensuring executives are fully briefed.Maintain and update key business documents trackers and registers (including compliance-related). Collate information on the delivery and status updates on the business plan Communication & Stakeholder ManagementAct as the first point of contact for internal and external stakeholders on behalf of the CEOBuild effective relationships across the organisation across the wider Group with key stakeholders of the c-suite.Support internal communications ensuring key messages are cascaded effectively where on behalf of the c-suite and work with the Internal comms partner to ensure wider reach.Project & Administrative SupportSupport delivery of strategic projects and initiatives led by the CEO and CFO.Day to day office management duties of HQ office in Stoke.Provide administrative support to HR Finance and wider leadership teams as required.Manage CEO expense claims and reporting.Champion process improvements to drive efficiency within the executive office.Qualifications : What you will bringEssentialProven experience as an Executive Assistant PA or similar role supporting C-Suite executives.Strong organisational and time-management skills with the ability to manage multiple priorities.Excellent written and verbal communication skills with attention to detail.Highly discreet with experience handling confidential and sensitive information.Confident in engaging with senior stakeholders and external partners.Proficient in Microsoft Office (Outlook Word Excel PowerPoint) and collaboration tools (Teams/SharePoint).Resilient adaptable and able to thrive in a fast-paced dynamic environment.DesirableExperience within Construction Manufacturing or Engineering industries.Understanding of Board-level governance and reporting requirements.Project coordination or business support experience.Additional Information : If you want to be part of our growing business we will reward you with:What We OfferCompetitive salary and benefits package.Opportunity to work alongside a high-performing executive team.Career development and progression opportunities.Inclusive and supportive workplace culture.PensionHealth care provided by Health ShieldBecome part of a company that has led the road marking industry from our inception.
