To take a critical role in the processing of the financial documents of the federation under the direction of the Assistant Finance Manager and to ensure that the federation operates an effective system of financial control. Processing purchase orders and goods receipts on the financial system.

  • online ordering of goods and services as required
  • ensure all orders comply with requirements of the TEFAT finance handbook
  • advice and assist budget holders with sourcing of goods and services, obtaining the requisite number of quotes
  • process new supplier requests, process on the finance system and maintain a record of approved suppliers
  • processing and payment of invoices on the financial system
  • monthly reconciliation of supplier statements and resolution of any issues arising from the reconciliations
  • management of credit cards including monitoring spend, reconciliation of statements, entering transactions on the financial system
  • raising Sales Invoices on the finance system
  • booking travel and accommodation for staff as required
  • processing expenses claims for staff on a monthly basis
  • liaise with auditors for internal and external audits and ensure all records are prepared in advance of audits
  • processing automatic prepayments in the finance systems
  • maintain manual and computerised records/management information systems
  • complete and submit forms, returns etc, including those to outside agencies
  • such other duties may be commensurate with the grade and nature of the post
  • contribute to the overall ethos/aims of the schools and federation and an expectation to work across the federation of 3 sites
  • recognise your own strengths and areas of expertise and use these to advise and support others
  • individuals have a responsibility for promoting and safeguarding the welfare of children and young people he/she is responsible for or comes into contact with
  • to ensure all tasks are carried out with due regard to Health and Safety
  • to undertake appropriate professional development including adhering to the principle of performance management
  • to adhere to the ethos of the school, federation and TEF
  • to promote the agreed vision and aims of the school and TEF
  • to set an example of personal integrity and professionalism
  • attendance at appropriate staff meetings, training and financial discussions
