Accounts Payable Administrator

About This Role
Join CAE's Civil Aviation Training team as Accounts Payable Administrator at our Flight Training Centre in Gatwick, West Sussex or alternatively Burgess Hill, West Sussex.
The role we are offering you
In this role you will be part of our five people strong Accounts Payable Shared Services Center team working across different entities in Europe such as Scandinavia, Belgium, the Netherlands, Poland and the UK.
Key Job Responsibilities
- Process Non PO (coding required) and PO invoices received for approval, ensuring these are appropriately authorized on timely basis.
- Download invoices from portals.
- Upload all end of day invoices.
- Run weekly payment prelims (inc expenses) and supply cash forecast and obtain approval.
- Complete payment process.
- Post direct debits and liaise with Finance Analyst on unposted payments.
- Reconcile supplier statements, where applicable, and follow up on any outstanding matters.
- Review the hold/reject and aging reports to ensure supplier(s) accounts are always in a "clean" position.
- Dealing with supplier queries (via email , Teams and letter) in an effectively and professional manner.
- Liasing with the Finance Analyst team and dealing with any of their queries.
Monthly tasks
- Interco invoices and confirming balances.
- Closing AP & PO ledger.
Our ideal candidate:
- Ideally brings first work experience from a similar role or has worked in accounting before.
- Has an understanding of double entry bookkeeping.
- Brings multi-currency knowledge. (desirable)
- Has strong IT skills (in particular MS Excel but also MS Word and MS Outlook) and the technical ability to learn new systems quickly. In this role you will be using Oracle R11, R12 and Cloud, Ariba and Co-Pilot an invoice processing software.

You have strong attention to detail, and you are well-organised with strong communication skills. As a pro-active individual you enjoy collaborating with other departments and you prefer to work in fast-paced and corporate business environment.
Location:
The full-time and permanent role is based at either our Business Aviation Training Centre in Burgess Hill or Gatwick, West Sussex. We operate a hybrid working approach with minimum 2 days in the office. The working hours of the role are Monday to Friday, 39 hours a week.
