OBJECTIVES OF THE POST

Knowes is looking for an outstanding candidate to deliver effective support to the Association's Housing Services Team, assisting the Head of Housing, the Housing Officers and Allocations Officer in their main areas of work; specifically around estate management, quality control of the Common cleaning contract, applications and allocations process and all other areas of Housing Management where required. The postholder will also play a role in assisting in the management of Universal Credit cases particularly around information coming from the UC Portal.

You will be customer focussed and have excellent communication and people skills. You will also have excellent organisational skills.

Ideally you should have experience in the provision of housing services within a social housing provider or other relevant sector, however this is not essential, with the ability to communicate effectively and work as part of a team as well on your own, being the most important attribute for the post. You must also possess excellent IT skills and be able to demonstrate these.

ROLE OF TEAM

This post will be based within the Housing Management team and take their lead from the Allocations Officer and Housing Officers. The postholder work will be supervised by the Head of Housing.

CORE RESPONSIBILITIES

Housing Management

  • Assist with estate management inspections of open areas, closes and back-courts, reporting any issue to the relevant department or Council
  • Issuing standard letters of action/notification to tenants as required.
  • Accurate and timely update of estate management database and associated paperwork
  • Identification of breach of tenancy during estate management visits, notification of these to the Housing Officer and carry out associated follow up action as directed.
  • Assist with monitoring close cleaning contract
  • Assist in sending out letters for Housing Officers
  • Update QL for HO on arrears action and correspondence
  • Visiting tenants to card or letter re arrears
  • Assist Housing Officers to carry out new tenant visits
  • Accompany Housing Officers in carrying out home visits
  • Assist in dealing with counter enquiries from tenants relating to tenancy issues
  • Assist in management of ASB issues
  • Assist with updating QL on all tenant contacts
  • Take rental payments from tenants

Universal Credit

The postholder will monitor the UC Landlord Portal and update this when required. They will work with the Housing Officer in the management of UC cases.

  • Make payment arrangements to cover any arrears or on-going payments
  • Liaising with the DWP to assist in managing clients with their claims
  • Advice to tenants making online claims
  • Pursuing tenants on the payment due date for payments
  • Assist in setting up APAs
  • Provide reports on UC claimants for monitoring purposes
  • Sign post claimants on to Benefits advisors where necessary
  • Attend Training to keep up to speed with any changes in the UC process

Allocations

Will assist the Allocations Officer in the management of the following;

  • Management of the Housing List
  • Assisting in processing housing applications
  • Interview applicants
  • Assist in arranging interviews and viewings
  • Assist in the management of section 5 referrals and Nominations
  • Accompany the Allocations Officer on viewings and where necessary carry out accompanied viewings
  • Assist in tenancy changes and terminations
  • Assist in the preparation of reports
  • Assist with management of garage and lock up sites

Other Duties

Where necessary carry out other duties to assist with the delivery of a high quality service provided by the Association.

To attend training opportunities to improve skills and enhance the delivery of the Associations services.

Skills and competences: Excellent communication skills; good IT skills particularly with Outlook, Word, Excel and housing management IT systems; organised and able to handle a number of competing demands; flexibility to switch between tasks; ability to work on own initiative & as part of a multi-disciplinary team; puts customers' needs first; maintains confidentiality.
