Context

Q:alliance provides support, information and representation for the LGBTQ+ people who live, work and play in Milton Keynes and Bedford. We have detailed knowledge of the issues and challenges that organisations and individuals face locally.

It's our goal to create more safe spaces and resources to ensure the LGBTQ+ community is well represented and supported.

Scope

This important new role will provide day-to-day financial support to maintain all accounting data and procedures relating to our charity, including but not limited to the recording of all sources of income and expenditure and providing administration support to all departments, with particular emphasis on finance and financial planning.

You will work cross-departmentally and participate in effective monitoring systems to ensure robust reporting.

Main Responsibilities

  • Finance Administration – Maintaining income, expenditure and balance sheet accounts, the preparation, recording, monitoring, and reporting of budgets in line with specified grants, supporting departmental managers with keeping records of petty cash transactions, paying invoices by BACS, producing management reports from Clear Books for CEO and Treasurer with downloads onto spreadsheets and management of online finance site, establish and maintain supplier accounts, assisting with annual audit and assisting with all other ad hoc financial operations.
  • Payroll - Pay wages monthly using Clear Books, maintain payroll records, maintain appropriate tax codes, administering expenses and attributing to project codes if applicable.
  • Administration – Support Senior Management Team with ad hoc administration tasks
  • Data capture and intelligence - Support Q:alliance's commitment to sustaining a contemporary data and monitoring mechanism, guaranteeing we can deliver thorough evaluations of our services and competent feedback to our funders and stakeholders on the efficacy of our work. Skills and Experience
    Expertise

    Experience of processing and reconciling income Excellent numeracy skills Experience of payroll and PAYE rules Strong Excel experience and relevant IT systems, including competency with Microsoft office and TEAMS Communication

    An ability to communicate in a timely and effective manner with finance and non-finance staff and stakeholders Ability to report and explain financial data to non-finance people within the organisation Behaviours

    Skills in forming constructive working relationships with colleagues and stakeholders at all levels A demonstrable track record in attention to detail and financial accuracy Passionate about equality and the rights of LGBTQ+ people Competence to work on own initiative and demonstrate forward thinking Model conduct essential for successful teams, such as reliability, honesty and courage Desirable

    AAT qualified LGBTQ+ lived experience Experience of working in the charity sector

    What you'll bring to the team

    You will serve as a prominent point of contact for financial and fundraising queries from staff to board level and external stakeholders, working closely with our Bid Writer, you will support project leads to manage grants and expenditure, providing an overview of the charity's financial health and acumen.
