About the team?

Due to increasing business demands and service expansion we require an additional administrator to join our friendly and dynamic occupational health (OH) team. We have three locations, Reading, Swindon and Plymouth and the team consists of specialist occupational health nurses, doctors, technicians, physiotherapist and administrators.

The health and wellbeing of our colleagues is key to our success and the role of the administrator is to support our clinical service.

About the job?

The role is to provide a full range of administrative support to the clinical team.

The role is full-time, mainly based in the Reading OH clinic but with a requirement to cover the Swindon OH clinic for annual leave etc., therefore the applicant must be flexible and willing to travel between locations. Train travel is provided.

Your main responsibilities will include:

  • Meeting and greeting colleagues on arrival to the OH clinic.
  • Managing the clinical diaries and booking medical appointments.
  • Liaising with managers for release of colleagues.
  • Ensuring ACMS is updated at completion of periodic medical assessments and the fitness statements are attached to eOPAS (occupational health database).
  • Provide admin support to the Occupational Health Physicians, creating fitness statements and reports for the outcomes of their appointments.
  • Ordering uniforms for new starters.
  • Working with wider GWR team to ensure excellent business performance.
  • Ability to work to strict deadlines and to work unsupervised.
  • Maintaining confidentiality in line with GDPR and medical guidelines.

You will need to be:

You will need to be a good team player, but also have the ability to work autonomously.

You will be working in a highly confidential environment dealing with sensitive personal data therefore compliance with data protection and medical confidentiality is essential.

You will need to be reliable, have the ability to attend to detail and to work under pressure.

You will need to be personable with excellent verbal and written communication skills and able to build relationships within all areas of the business.

As a minimum you will have:

Previous administrative experience and excellent working knowledge of Word, Excel and PowerPoint is essential. Previous experience with eOPAS, (occupational health database), ACMS and other OH software is desirable but not essential as full training will be given.

Working knowledge of GDPR and of handling confidential medical information is essential.

About the location?

Based mainly in the Reading OH clinic, with some requirement to cover the Swindon clinic. Train travel is provided.

Working pattern?

Monday to Friday 8:30-16:30
