Job Description


We're looking for a Pensions Team Support Specialist based in Birmingham to help us manage our pension governance processes, ensure smooth administrative functions, and contribute to the ongoing success of our pension arrangements.

This position is a permanent position, offering a flexible hybrid working model (typically 3 days in the office – 2 days from home).


Duties & Responsibilities


What you'll do:


Operational Support:

Work closely with the Pensions Team and other internal functions (Finance, HR, Payroll) to manage daily operations, ensuring tasks are completed efficiently and on time.


Governance & Administration:

Assist in maintaining governance processes, policies, and decision logs. Ensure compliance and regular updates of these key documents.

Coordinate trustee board meetings, handle communications, and manage meeting logistics.


Financial Management:

Oversee and maintain the Pensions Team’s finances, including processing invoices, managing expenses, and record-keeping.


Documentation & Reporting:

Assist with preparing and uploading trustee meeting papers, creating briefing notes, agendas, and action logs.

Support the ongoing administration of defined benefit and contract-based pension plans.


Ad-Hoc Support:

Take on additional responsibilities as needed, including supporting governance initiatives and ad-hoc projects.


The Individual


What you'll need:


  • Strong organisational and time-management skills, with the ability to manage multiple tasks.
  • Effective communication skills to interact with a wide range of internal and external stakeholders.
  • Proficiency in Microsoft Office, particularly Excel, with the ability to learn and adapt to new systems.
  • Basic knowledge of occupational pension schemes and how they operate.
  • Fluent in English (both written and spoken).
  • Previous experience in managing or supporting the administration of occupational pension schemes is advantageous.
