Role summary:

To support with budget tracking, financial reporting, data management, company and office organisation and maintenance.


What we are after:

Someone who has a passion for numbers, spreadsheets and databases. Must be tidy, well organised and able to get on well with people from different backgrounds. Ideally has an interest in the Arts/Media and an understanding of the local area (Slough/Berkshire).


Wage:

c£27,000 pro rata, per annum, plus a package of benefits.


Working week:

c10am to c3pm, office based, mutually flexible (TOIL) working to include some evenings and weekends.


Future prospects description:

This is a 2 year, part-time, fixed-term post.

If BFI/ACE funding is extended, there may be scope to extend.


Skills required:

  • Excellent knowledge of Microsoft Office, including Word & Excel.
  • Good written English, Spelling & Grammar.
  • Ability to use or learn how to use XERO accounting software.
  • Ability to use or learn how to use GOODCRM database software.
  • Willingness to support others and proactively assist.


Qualifications required:

  • Accounting and/or database management training or experience.
  • Enhanced DBS check required.


Personal qualities:

  • Positive and enthusiastic, hardworking, and committed.
  • Organised and self-motivated.


Reality check:

There will be the chance to get involved with all our exciting projects, but you will essentially be office-based supporting the ‘back end’.

Key Objectives:


1. Office Management

Ensure the office is tidy, organised and well-stocked. Monitor and order stationery and supplies (within budget). Check on IT systems and equipment to keep in working order. Answer the telephones and door, take messages, and meet and greet all guests.


2. Administration

  • Oversee databases and CMS – GOODCRM.
  • Take & send out minutes and associated paperwork.
  • Oversee DBS and staff training/CPD checks.
  • Support the preparation and implementation of evaluations.
  • Handle supplier accounts including stationery, postage and other general supplies & subscriptions.
  • General administrative support and data entry.


3. Finance

  • Oversee day-to-day finance with book-keeper – XERO.
  • Support the team with issuing quotations and invoices.
  • Maintain company budgets & cash-flow.
  • Ensure project expenditure tracked in line with budget/cashflow.
  • Review and process expenses.
  • Produce quarterly finance reports.
  • Assist with payroll, petty cash, and other finance tasks.


4. Resources

All office equipment and subscriptions.


5. General

In addition, you will be required to undertake any other duties as may reasonably be required.
