Position Overview:nWe are seeking a skilled Receptionist to join our London office. This role requires the individual to be in office five days each week, Monday-Friday from 8:00am to 5:00pm.

Responsibilities include:nAnswer and screen incoming calls for the office in an efficient, friendly, and professional manner.nWelcome guests and ensure they are promptly announced to the appropriate person, and escorted to the designated meeting room.nArrange and coordinate food and beverages for meetings as requested by the investment staff and/or executive assistants.nManage meeting room calendars.nCoordinate and ensure neat appearance of reception area and conference rooms.nOrder cabs/cars when necessary for guests and employees.nCall/arrange courier services when necessary. Accept deliveries from courier services.nComplete stationery and bottled water orders, weekly grocery orders, and daily ordering of lunch for the staff.nRegular, reliable attendance and punctuality. Flexibility to come in early or stay late on short notice, if requested.nHandle post – incoming & outgoing.nAssist with Accounts Payable – gathering monthly invoices – scanning and uploading to Accounts portal.nProvide administrative support to Associates on a daily basis.nMaintain and organize files; complete copying, mailing, and shipping requests.nSchedule meetings/calls using Outlook.nProcess expense reports for reimbursement.nMake travel arrangements (domestic & international), including flight reservations, hotel accommodations, car service, etc.nUpdate the annual FCA Binder with compliance materials throughout the calendar year.nAssist with operations requests and other tasks as needed.

Qualifications:nExceptional verbal and written communication skills with the ability to exercise tact, good judgment and diplomacy in dealing with management, guests and vendors.nPrior experience in a corporate setting desired. Financial services industry experience is a plus.nStrong computer skills (MS Word, Excel, PowerPoint, Outlook).nUniversity degree is a plus.nPhone System experience on Cisco IP Phone Series helpful, but not required.nPrior experience with expense reporting in Concur helpful, but not required.nAs the first face/voice a person encounters at TA, the Receptionist must maintain a professional attitude, appearance and demeanor at all times.nAbility to prioritize workflow in a challenging and evolving environment.nSelf-motivated work ethic, with a high level of organization and attention to detail and accuracy.
