We have an excellent opportunity for an Executive Assistant to the CEO/Owner. The Executive Assistant will be responsible for providing comprehensive support to the CEO, managing day-to-day administrative functions, and acting as a key liaison between the CEO and internal/external stakeholders. The Candidate will also be involved in manage Owner person offers and staff.
This is an office-based role located in Bromley, SE London, requiring the EA to be present in the office five days a week.
The ideal candidate will possess exceptional organisational skills, strong attention to detail, and the ability to handle sensitive information with discretion. This position requires assisting the CEO in managing multiple businesses and projects. The successful candidate must be proactive, confident in decision-making, and able to use their own initiative effectively.
Key Responsibilities:
* Administrative Support:
* Manage the CEO’s calendar, including inbox management, scheduling meetings, appointments, and travel arrangements.
* Prepare and edit correspondence, reports, presentations, and other documents as needed.
* Coordinate and organize internal and external meetings, including logistics, agenda preparation, and minute-taking.
* Screen and prioritize phone calls, emails, and other communications for the CEO.
* Project Management:
* Assist the CEO in tracking key projects and initiatives, ensuring timely progress and completion.
* Conduct research and compile data to support the CEO’s decision-making process.
* Coordinate cross-functional projects and liaise with various departments to ensure alignment and effective communication.
* Liaison Role:
* Act as a primary point of contact between the CEO and internal/external stakeholders.
* Handle confidential information and maintain the highest level of discretion and professionalism.
* Foster and maintain positive relationships with key clients, partners, and board members.
* Confidentiality:
* Maintain a high level of confidentiality regarding sensitive information.
* Be contactable out of hours for the CEO.
Personal Matter:
* Travel Arrangements: Booking flights, hotels, and transportation for both personal trips, ensuring all itineraries are well-organized
* Household Management: Coordinating with household staff (such as cleaners, gardeners, or nannies), managing home maintenance schedules, and handling household bills and expenses.
Qualifications:
* Bachelor’s degree in Business Administration, Communications, or a related field preferred.
* Proven experience as an Executive Assistant, Personal Assistant, or similar role, preferably supporting C-level executives.
* Exceptional organizational and time management skills, with the ability to prioritize and handle multiple tasks simultaneously. Excellent written and verbal communication skills.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management software.
* Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
* Discretion and confidentiality in handling sensitive information.
* High level of initiative and ability to work independently with minimal supervision. Flexibility to adapt to changing priorities and a fast-paced environment.
