JOB PURPOSE:


To provide administrative support for premises related matters, monitor and collate key information related to PFI (Private Finance Initiative), and provide administrative support to Senior Leads and Governing Board committees.


MAIN DUTIES AND RESPONSIBILITIES:

  • In consultation with Senior Leadership Team (SLT) and relevant parties, coordinate Swiss Cottage School Development and Research Centre's premises and facilities. Developing effective operation of systems and services within these areas; and their compliance with legislation requirements.
  • Assist SLT in the delivery of various facilities and premises projects as required to meet the needs of the Academy in order to achieve project goals;
  • Day to day monitoring of building and facilities related issues;
  • Input and supervise the logging of problems or technical faults with BAM Facilities Management (BAM FM);
  • Check that work carried out by BAM FM has been completed satisfactorily and follow up any discrepancies;
  • Communicate with staff and senior management updates on any issues raised;
  • Review completion of tasks by BAM FM, monitoring accuracy of helpdesk activities and reporting on anomalies;
  • Coordinate record keeping and building of evidence base regarding BAM FM;
  • Support senior leaders in furniture and office planning on an annual basis, reviewing staff accommodations, presenting a range of creative and costeffective solutions to ensure all staff have appropriate fixtures, fittings and equipment to deliver their job roles;
  • Have an overview of specialist equipment across the school and monitor and organize maintenance, servicing and storage
  • Support senior leaders in planning best allocation and utilization of space and resources for the building and reorganizing spaces if necessary;
  • Support in the zoning across the building, working with BAM FM and senior staff to ensure the building is well maintained and presented at all times and acting as a champion for shared ownership and responsibility across all staff;
  • Support SLT in various improvement projects, including review and evaluation of monthly performance reports from BAM FM;
  • Carry out daily and weekly building checks and report to BAM FM appropriately, accurately and timely, as well as any emergencies.
  • Raise, negotiate and agree ANCs with Camden;
  • Verify Monthly BAM /Camden Reports and reporting to Camden timely;
  • Preparing monthly Excel reports for Authority Damage and Additional Hours and taking appropriate actions

Health and Safety:

  • Ensure, in conjunction with the senior leaders, compliance with health and safety procedures and requirements related to contractors in accordance with PFI contract and legislative requirements;
  • Provide support in emergency situations with business continuity, providing contact details and completing necessary documentation and tasks;
  • Carry out risk assessments (preparation and review). Maintain a record of COSHH assessments and monitor any new hazardous substances being brought into the Academy;
  • Communicate regularly at all levels within the school on Health & Safety issues;
  • In line with safeguarding, liaise with HR to ensure DBS and ID monitoring is taking place for all BAM FM and contract staff

Administrative Support:

  • Administrative support to the SnLT on matters relating to premises, equipment and governance
  • Provide administrative support to Governing Board, taking minutes and distributing papers and agendas
  • Participate in environmental audits of the school premises
  • Collate and keep up to date risk assessments related to equipment and premises
