You will have:

Experience of providing a confidential, comprehensive administration support to the Chief Executive Officer or to an Executive Director and looking to take the next step;
Excellent managerial skills and you may have experience of leading a highly functioning Executive Assistant team;
A proven track record in developing relationships with key stakeholders;
Relevant qualifications or similar experience,

Please note that a stakeholder panel is scheduled to take place on Friday 21st July, before the formal interviews on Monday 24th July 2023.

To provide efficient, effective, confidential and comprehensive administrative support to the Chief Executive and the Deputy Chief Executive.

Provide clear leadership and direction for the Chief Executive and the Deputy Chief Executive's office.


Be responsible for the co-ordination and leadership of the provision of high-quality Executive support services to the Executive Team including line management responsibility for the Executive Assistants.


To undertake complex projects that may cross corporate functions as required by the Chief Executive and the Deputy Chief Executive.

To manage the Trust Corporate Credit Card.

Provide a high quality, comprehensive and responsive secretarial service and administrative support to the Chief Executive and Deputy Chief Executive and other senior managers in the Trust.


Provide oversight for a broad variety of tasks for the Chief Executive and Deputy Chief Executive including managing extremely busy diaries completing reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, preparing agendas and compiling documents for meetings.


The role will involve intensive contact on a daily basis with a wide range of people - both internal and external to the organisation and therefore requires a confident approach.

The post holder will need to be a team player and a 'completer-finisher', with very strong communication skills and an eye for detail.


To make sure verbal and written complaints received in the office are managed in a timely way and ensure that complaint responses signed off by the Chief Executive are grammatically correct.


Effective minute taking for meetings led by the Chief Executive and Deputy Chief Executive (as required) and ensure that these are completed and distributed in a timely manner.


Manage the office and Trust Headquarters set up, ensuring that all team members have the correct equipment and appropriate working environment.

Provide training to new members of the Secretariat team in office administration and support systems and processes.

Handle confidential documentation and personnel matters in an effective and discreet manner.

Act as Facilities Manager for the Trust HQ, supporting the Trust Health and Safety Officer

Line management responsibility for Trust Headquarters receptionists and Executive Assistants based within the Executive Team.


Manage the complexities of the Chief Executive's and Deputy Chief Executive's diaries, co-ordinating and prioritising appointments and ensuring that there is effective communication to all relevant parties including other colleagues in the wider Team.

To make all the necessary arrangements including travel.


Support the Trust Secretary and Freedom to Speak Up Guardian in developing, implementing and managing effective administration policies and procedures relating to administration within the Secretariat and ensuring they are introduced and adhered to.

Manage the budget for the secretariat and reception team.
