Job summary

The Forensic Mental Health Directorate provides an inpatient service across Staffordshire and Shropshire areas and is part of a regional network of providers for the West Midlands (REACHOUT). The forensic unit provides both medium and low secure mental health facilities and a low secure learning disability facility for male adults.

An opportunity has arisen to join our Forensic Mental Health Team based at Mellor House, St George's Hospital, Stafford. The successful candidate will be required to provide a full secretarial and administrative support to a Forensic Consultant Psychiatrist and a multi-disciplinary clinical team.

The position will require you to be well organised, confident, able to work under pressure and use your own initiative whilst working as part of a team. It is also important to have excellent written and verbal communication skills when dealing with various contacts, both internal and external to the Trust. Audio typing and effective minute taking is required to a high standard and is a key element to the role along with good diary management.

A good level of IT literacy is required in this role as the post holder will be required to maintain patient records on the RIO system (patient information system) for which training will be given. You should also possess GCSE or an equivalent level in English and maths, RSA III Typewriting/Word processing and AMSPAR, or equivalent qualification and experience.

Main duties of the job

Provide a confidential and efficient word processing service, with the ability to convert reports and correspondence written by the manager and multidisciplinary team members from a variety of sources contemporaneous notes taken on a laptop, audio, shorthand and manuscript into professional and grammatically correct documents.

Be able to prepare draft documents and correspondence on behalf of the consultant forensic psychiatrist and other multidisciplinary team members.

To assist in the preparation of comprehensive formal reports for Mental Health Review Tribunals, Managers' Reviews, care co-ordination reviews, Annual Statutory Reports.

Co-ordinate timetables for specified meetings. Attend weekly multidisciplinary meetings and take contemporaneous minutes and dealing with any subsequent actions in respect of patient treatment plans, record correspondence received and actions to be taken by members of the clinical team. To update the clinical team on information received from the Ministry of Justice and other agencies.

Audio typing.

Organise conferences, seminars, workshops and training events, booking of rooms, hotel accommodation, conference preparation and arranging refreshments from internal and external sources.

Diary management of multiple diaries.

Job responsibilities

To provide effective and efficient secretarial support to a Consultant Forensic Psychiatrist and multi-disciplinary clinical team pathway. This includes the provision of office support services to facilitate patient care delivered by the team and liaison with other staff groups and outside agencies.

The post holder will be required to work on their own initiative and demonstrate a willingness to help others and be a key member of a team. The incumbent will be expected to manage and prioritise own work load and meet deadlines in order to fulfil the requirements of the post. Excellent written, interpersonal and communication skills are essential with an ability to deal with challenging situations.
