KEY RESPONSIBILITIES OF THE POST ARE:

Operational Coordination:

  • Collaborate with different departments to streamline operational processes, identify areas for improvement, and implement efficient workflows.
  • Coordinate and monitor daily operational activities, ensuring adherence to established policies, procedures, and timelines.
  • Maintain accurate records, databases, and documentation related to operations, including inventory, contracts, and project files.
  • Track and manage operational budgets, expenses, and resources, ensuring financial efficiency.
  • Update policies as necessary.

Logistics Management:

  • Coordinate and manage logistics for various projects, including scheduling, resource allocation, and procurement of equipment or supplies.
  • Liaise with vendors, suppliers, and service providers to ensure timely delivery of goods and services.
  • Monitor inventory levels and coordinate replenishment as needed.
  • Oversee facility management tasks, including maintenance, repairs, and security.
  • Take ownership of Connect Alloa funds and finances and organise them as receipts are added to keep our annual accounts up to date.

Project Support:

  • Provide administrative and operational support for projects and
initiatives, including planning, coordination, and documentation.

  • Assist in the development and implementation of project plans,
milestones, and deliverables.

  • Track project progress and propose solutions to ensure timely
completion.

  • Prepare reports, presentations, and other materials to summarise project
activities and outcomes.

Communication and Collaboration:

  • Facilitate effective communication and collaboration among crossfunctional teams to ensure alignment and smooth operations.
  • Serve as a point of contact for internal and external stakeholders, responding to inquiries and providing timely updates.
  • Coordinate meetings, conferences, and events, including scheduling, logistics, and documentation.
  • Foster a positive and collaborative work environment, promoting teamwork, knowledge sharing, and continuous improvement.

Process Improvement:

  • Identify opportunities for process optimisation, efficiency gains, and cost savings within operational workflows.
  • Propose and implement process improvements, including the development of standard operating procedures (SOPs) and automation tools.
  • Monitor and evaluate the effectiveness of implemented processes and adjust as needed.

Connect Alloa may require you to also:

  • Attend and participate in other appropriate meetings as and when required, i.e. meeting online or face-to-face where to provide updates etc as part of the contract.
  • Undertake other duties which may be required, and which are commensurate with the post.
  • Understand that even out with working hours, you represent the charity and its ethos.

£26,537.00 per year
