The main focus of the Data and Admin Lead is to provide a comprehensive and efficient administrative, reception and secretarial function to the service.

This will involve developing and managing a data management system and taking responsibility for the administration team.


As Data and Admin Lead, you will assume responsibility for administration, reception and secretarial services including the line management and supervision of anyone carrying out administrative duties.

This will involve providing timely responses to data information requests, gathering activity data for local monitoring reports and developing compliance and performance data reports to assist Managers in improving efficiencies and outcomes.


You will monitor the integrity of data, produce reports as requested and ensure that data is available to demonstrate the benefits and impact of the work of the contracts within the service.

The Data and Admin Lead will be responsible for scribing formal meeting minutes, and for receiving and processing referrals as appropriate.


You will take some responsibility for knowledge and information sharing as well as ensuring that appropriate management information systems are in place and that data monitoring is available and utilised appropriately.

Part of this role is about supporting and training colleagues across the organisation to ensure compliance with data collection systems and competence in Windows driven software packages.


To be successful, you will be able to establish and maintain excellent working relationships with a wide range of stakeholders, both internally and externally.

You will have solid communication skills, and excellent time management.

You will have a successful track record of providing administrative services and will be competent in collating and presenting data as well as managing databases.

REQUIRED SKILLS:

  • Advanced level working knowledge and experience of using Micro Office package, in particular Outlook, Word, Excel, Access and Powerpoint
  • A successful track record of providing administrative duties
  • Knowledge/understanding of collating data and managing databases
  • Excellent analytical and problemsolving skills
  • Excellent organisation, planning and time management skills
  • Good communication skills (written and oral)
  • Ability to build and maintain relationships internally and externally

DESIRABLE SKILLS:

  • Administrative/secretarial/ IT qualification
  • Experience of working in a voluntary organisation
  • Experience of line management
  • Knowledge of relevant industry data sets
