The Role:

- _Provide secretarial support, including filing & scanning and processing Electronic Fund Transfers (EFT's)_
- _Assist the team with regular archiving. Maintain the team's archiving list, which will involve periodically reviewing older archived items and removing them from archive when appropriate._
- _Salary: Starting from £30,000 per annum_

The Team:

- _You will provide diary management to Head of ESG and work closely across the company and sustainability team. During the absence of the Corporate Affairs Executives PA, provide administrative support to them and the wider team._

What you will be responsible for:

  • _Arrange weekly/monthly 1:1 & team meetings for the head of department's direct reports, and the team._
- _Provide administrative support to the Head of ESG and wider team._
- _Take and produce meeting minutes for internal board meetings as and when required_
- _Ensure that all team members have the resources they need to complete their tasks._
- _Organise travel and hotel bookings for members of the team._
- _Budget management, monthly oversights of our cost centres and ensure that our numbers (PO's raised, invoices, spent) match finance._
- _Printing, binding and distribution of key departmental documents for senior meetings. _
- _Preparing, printing and sending of External Board papers_
- _Monitor main Sustainability inbox and respond to general queries raised by both internal and external stakeholders and inform the relevant team member as appropriate._
- _Support the Energy team by monitoring the Energy mailbox and help with requests._
- _Manage all aspects of the Purchase to Pay process for the Senior Leader/Managers cost centre which may include new supplier onboarding and Purchase Order processing._
- _Submission of expense claims for the team as required._
- _Organise team outings to promote team bonding._
- _Undertake any other reasonable duties as instructed._

- _Good spoken and excellent written English_
- _Ability to work under pressure._
- _Advanced knowledge of Microsoft Outlook, Word, Excel and PowerPoint etc_
- _Clear, concise and polite telephone manner_
- _Team player and motivator_
- _Accuracy and excellent attention to detail_
- _Proactive and able to use initiative._
- _Minute taking_

Job Types:
