London, Greater London, United Kingdom DRMR Full time
Job description

Winner of Dentist of the Year Dr Manrina Rhode has opened a revolutionary 'dental and full body transformation' clinic which won Best New Clinic in London 2023.

She is looking motivated treatment coordinator to join her DRMR Super Clinic team.

The striking architecturally designed DRMR Clinic is in the Brompton Design District at 251 Brompton Road, London (opposite the London Oratory and down the road from the V&A).

As well as dentistry, the new clinic takes a comprehensive approach to mouth, face and body with the premise that the 'mouth is the gateway to the body'.

The DRMR Clinic offers a wide range of services.

We are seeking a full time Treatment Co-ordinator to join our wonderful team and help grow our business.

We are hoping to find someone with clinical knowledge about dentistry and a GDC registration so they are able to scan patients at consultations (training will be provided).

What is your role?

The overall aim of the TCO role is to book new patients, up-sell to existing patients, generate referrals and increase sales.

This is done by providing a 5 Star Customer Service. All activities must eventually lead to this being achieved.

Private TCO

The principal job of a Private TCO is to take potential customers from our marketing channels through the patient WOW journey, providing 5 star customer service and enhancing their experience, which will eventually lead them to have treatments carried out by our dentists and other clinicians.

The journey continues during and also after treatment has been completed, by ensuring we collect testimonials from the patients and ask for word of mouth referrals.

This role will involve;

Calling patients who contact us via telephone

Liaising with internal customers who require TCO

Arranging consultations for patients as soon as possible

Taking the patient through the patient WOW journey

Explaining different treatments to patients using live aids (Chairsyde program)

Digital photography

Showing our previous work to help patients understand treatments

Working closely with nurses and clinicians to allow perfect handover of patients through all stages

Going through treatment consent forms

Arranging finance options for patients

Acquiring video and written testimonials from patients with consent

Getting patients to sign up to our other non-dental consultants

Organising gifts and thank you cards for patients

Following up on patients who have not yet signed up for treatment

Understanding and reporting on the sales pipeline

Offering a concierge service to all patients by being their number 1 contact person

Reporting on the number of enquiries and the conversion rates

Calling patients for feedback and check how they are

Monitoring front of house systems to ensure 5 star service delivered

Training staff on telephone answering and customer service

Set up CRM software

Arranging practice open days to promote certain treatments

Reporting on where our patients come from

Running quarterly offers

As you can see from the above, the role for TCO is an extensive one and one that we hold in high regard.

We feel that if performed correctly, this role could have an enormous effect on our business and markedly improve sales as well and the image of our practice.

The qualities and skills required for this role are:

Organised - you will be managing your own diary and will have several tasks that will need to be carried out regularly.

Thus, organisation is key to success.

Communication skills - your job will in essence be about your ability to communicate effectively with patients, team members and outside contractors.

In order to succeed you will need to master the ability to build rapport with patients and sell to them, motivate and inspire team members to follow you and assert your knowledge and authority to outside contractors in order to get stuff done.

Charming - more of a quality than a skill but being charming can really help you sell. If you master this, patients will be happy to buy from you and it will increase practice sales.

Attention to detail - everything you send out will represent DRMR, incorrect branding, inappropriate text will be visible, which means you have to ensure none of these mistakes ever happen.

That means being obsessive with detail, proof-reading everything twice and ensuring no mixed message or contradictory view ever leaves your computer.

Leadership - you will be responsible for executing several systems but will also be responsible for training others to follow and adhere to them also.

You will eventually be requested to roll out the TCO role in the other practices, which will requires demonstrating leadership.

Willing to constantly learn - TCO is a dynamic industry that is constantly improving.

You will have to be willing to read around the topic, attend seminars, work with coaches, do new courses and everything it takes to stay ahead in this field.

It is important that as a practice we can measure
