Job Purpose Working as a member of the Finance Team the Information administrator will:

Improve the quality and accuracy of the demographic data inputted in South West London Child Health Information System (CarePlus).


To input childrens health records (Example:
Immunisation, Bloodspot screening information) in CarePlus To critically analyse data and flag data irregularities and inconsistences to Line manager.

To maintain a good knowledge of Data Protection Act, Information Governance and Caldicott to ensure appropriate handling of patient data Ensure that each child registered with a South West London GP or lives in South West London has an active care record in CarePlus, supporting delivery of, as a minimum, screening, immunisation and the healthy child programme services according to Child health service specification.


Ensure the case record of children registered with GPs outside of London are forwarded within 24 hours to the relevant child health department.

Ensure all records are held within a secure information system, which meets the appropriate requirements for information governance and IT security for managing personally-identifiable data within the NHS, and is supported by a team with the prerequisite knowledge, skills and competency.

Dimensions Your Healthcare (YH) is a not-for-profit provider of community health and social care services in the Royal Borough of Kingston upon Thames, and Learning Disability Services in Richmond.

It employs circa 700 staff based across a number of YH, Local Authority and NHS owned sites.

The Foundation team are responsible for ensuring the corporate and clinical governance structures systems and processes are in place, monitored and reviewed to provide on-going assurance to Your Healthcare Board and enable a response to internal and external scrutiny.

Essential to the delivery of this assurance is the monitoring, analysing and reporting on the business performance of clinical services.

This post will support the team in collating, inputting, extracting and analysing of information to demonstrate the level of business performance to our stakeholders.


The key contacts for the role will be employees, GP Practices and third party suppliers eg Practice Focus regarding the timely submissions of immunisation data.

Information Administrator 4.

Key Result Areas Data Analysis All new birth notifications received are recorded in the Child Health Information System(CHIS) within 24 hours of receipt and a referral for a new birth visit created for the Health Visitor, to support this visit being undertaken within 14 days.

New born hearing screening results received from SWL Hearing Screening Program are recorded in CHIS within 7 working days.


All information received for each child is up-loaded into the system to support effective clinical decision making, this includes all A&E attendances.

To record bloodspot screening results received from St Helier path lab within 17 days of birth in accordance with UK New born Screening guideline.

To notify Health visitors of any babies with missing results and asking the team to pursue and check the results with the parents/guardians.

To ensure immunisation records received from GP practices are added in Your Healthcares child health system (CarePlus) in timely manner and the integrity and accuracy of the records are checked.

To Liaise with GP Practices and Health visitors to complete course of the immunisation.

To retrieve the immunisation details for children who attend South West London schools from out of area or to send the complete medical history for secondary school children who attend out of area schools.

To receive and register Hep B notifications received from South West London Hospitals and public health in CHIS and to set the maternal HB status of the mother to positive.

Movers in notifications received from GP Practices or Health visitors are recorded in CHIS within 24 working hours.

Request Health Visitor Records for children moving in to our area from organisations/Trusts around the country.

Movers out reports to accompany child records are compiled within 24 working hours of the notification received from out of borough child health departments.

To ensure demographic details (e.g.

Address, GP Practice information, School details) (Child Health system) and childs health record summary are current and up to date in careplus (Child Health System).


To contribute in development of Your Healthcare policies promoting good practice in relation to childrens data To contribute to the maintenance and monitoring of service standards To ensure compliance with all information governance requirements at all times.

To be up to date with Data Security Awareness mandatory training Communication and Working Relationships Liaise with GP practices regarding the accuracy/outstanding immunisation data.
