Here at Office Angels Edinburgh we have a great opportunity to join our highly credible client on a part time basis - based in South Queensferry The hours of work are 25-30 hours p/w, preferably over 5 days, with a salary of £20-22k dependant on experience.


Our client requires additional administrative support to the team to undertake a variety of tasks in support of the office management, including: incoming / outgoing communications, ordering supplies, processing invoices, travel bookings and data entry.


In addition to previous admin experience our client looking for someone with an ability to work flexibly to meet the requirements of the business as the workload can change on a daily basis.


ROLE PROFILE - ADMIN ASSISTANT
Financial

  • Monthly invoicing for projects (including chasing of company debtors and late payment)
  • Keep record of invoices issued and chase overdue invoices as required
  • Ensuring office revenue predictions are input and complete monthly report
  • Send out weekly/monthly office revenue updates
  • Collating and inputting Revenue Prediction information
  • Timesheet and expense input
  • Arranging payment of invoices (In) from suppliers
  • Company credit card reconciliation
Office Support

  • Arranging PPE on an adhoc basis
  • Keep updated list of graduate locations
  • Induction packs maintained for distribution to all new starters
  • Liaison with external suppliers e.g. cleaners, shredding company, water cooler, etc.
  • Booking training courses (both internally and externally)
  • Set up boardroom for meetings
  • UPS courier arrangements
  • Incoming/Outgoing mail distribution
  • Meeting / greeting visitors to the office
  • Ensuring arrangements are in place to ensure any calls to the office are picked up if unanswered
  • Arranging lunches and refreshments as and when required.
  • Maintenance of office stationery supplies, hardware, toners and adhoc replenishment, when required
  • General replenishment of office sundries (tea, coffee, bin liners etc.)
You will also be involved in project support and the recruitment process.

Experience required:

Proven administration experience:

  • Experience of working with SAP would be an advantage
  • Experience of working in a fast paced commercial environment
  • Exceptional organisational skills
  • Solid attention to detail, with a proactive approach and sense of urgency.
  • Prioritising workload, working towards tight deadlines, excellent time management and dealing with conflicting priorities
  • Adaptable, strong work ethic and a good team player.
  • Good verbal and written communication skills.
