Howden is looking for an Executive Travel Coordinator to assist the Senior PA's across the business to organise business travel on the company jet. You will also support the Operations Manager and wider Hospitality team to deliver the best travel experience possible and follow with timely and accurate invoicing for all travel/events.

Please note that this is a full-time, permanent role based in our London office. The expectation is to be onsite 3 days per week on average.

Role Responsibilities:

  • Liaise with senior PA's to raise awareness of the private plane, and to support the booking process from initial enquiry through to completion of the trip
  • Manage the invoicing and cross-charging process for travel on the private plane
  • Coordinate the delivery of appropriate on-board refreshments
  • Deliver guidelines on booking process
  • Become the Group Subject Matter Expert (SME) for the private plane
  • Act as point person for the Group Chairman, Group CEO and their PA's for all planned trips
  • Deliver training, guidance and advice to all travel bookers in the business
  • Support with ESG, cost and SLA/KPI reporting for the private plane
  • Work closely with the Finance Business Partner in relation to invoicing from Volare
  • Produce weekly MI to share with Finance and Volare confirming latest schedule to base invoicing on
  • Support the Operations Manager and wider Hospitality team with general invoicing and cross charging
  • Support the Business Travel and Hospitality teams with general admin support on major travel bookings and events

Role Requirements:

  • Previous experience in a similar coordination/administrative role., preferably with demonstrable experience of managing senior-level stakeholders and building those relationships.
  • Ability to work in a fast-paced dynamic environment.
  • Strong stakeholder management skills.
  • Ability to manage fluctuating workloads with a flexible approach to the fulfilment of work commitments
