Front of House Duties / receptionist duties for the Enterprise Park to include Conferencing, Co-Working and Meeting Rooms

  • Manage all enquiries for Mallusk Enterprise Park
  • Promote Mallusk Enterprise Park facilities via various mediums (digital and print) and work to agreed booking targets monthly
  • Keep a photo library, regularly creating new content to promote facilities
  • Gather customer feedback which can be used on website / social media platforms.
  • Manage catering (tea, coffee, biscuits, scones, sandwiches / hot food) to a high standard, ensuring customer expectations are met
  • Room setup / clear up as per customer requirements (to include AV equipment)
  • Greet / welcome customers and collect feedback after each booking
  • Ensure the facilities are kept clean, liaising closely with the Property Officer and the park cleaners
  • Be responsible for maintaining an adequate stock of consumables
  • Stack / empty dishwasher and keep all areas clean and tidy

Administration Duties applicable to both The Business Advice Center and The Enterprise Hub

  • Carry out administration duties
  • Maintain SMART Parking database
  • Handle incoming and outgoing mail, including parcels
  • Carry out Mailchimp marketing
  • Call handling
  • Maintain tenant databases
  • Maintain tenant fob database and issue fobs / cancel fobs when required, under guidance from The Property Officer
  • Keep website up to date

Co-Working Space and Serviced Offices

  • Manage daily usage of these spaces using microsoft computer packages
  • Carry out administrative tasks for users of these spaces
  • Ensure coffee / tea dock is stocked and operational at all times
  • Handle incoming and outgoing mail for all applicable users
This is a full-time post.

Reporting to the Property Officer

Start date; Immediate

Standard working hours will be 8.30am - 5pm, Monday to Friday with a 45 min lunch break each day.

20 days annual leave plus public holidays.


If a conference room / meeting room booking requires you to work before 8.30am or beyond 5pm overtime will be paid (prior approval required.) Please note that overtime will only be paid in blocks of 30 minutes of more.


Remuneration:
£22,165.00 per annum / £11.00 per hour

Essential Criteria

  • Minimum 1 year experience in an administration role
  • Proficient in typing and word processing
  • GCSE Maths & English at grade C (or equivalent)
  • Proficient in use of social media platforms such as Facebook, Twitter, Instagram and Linked In
  • Excellent communication skills; verbal and written

Desirable Criteria

  • Experience in a front of house, client facing role
  • Experience of working to targets
  • Event management experience
