We are looking for an experienced Rota Co-ordinator/Management PA to lead and manage clinical and non clinical rotas, support the senior management team, as well as providing administrative support to the wider hospital.

The role involves providing comprehensive administrative support and leadership for the production and running of rotas for junior medical staff, ensuring rotas are completed, updated and publicised in line with required timescales, highlighting any requirements for locum cover in a timely manner. You will be responsible for producing data and reporting on the effectiveness of the rotas, ensuring all absence is recorded accurately and in a timely manner. You will work closely with clinical teams and medical HR services to support this process.

Alongside these responsibilities, you will manage a small team of administrators working across the hospital.

Main duties of the job Provide line management and leadership to the Rota Co-ordinator/other administrators within BHOC.

To oversee the production and maintenance of junior doctor rotas, ensuring that they are compliant with EWTD and New Deal regulations and that they are equitable for all staff.

To oversee the design, production and monitoring of new medical rota templates, when required, ensuring compliance with EWTD, New Deal regulations and bandings.

To support the Senior Leadership team with any administrative duties required, alongside the Management PA team. Person Specification Knowledge and Experience Essential
  • Experience of managing rotas and resolving rota issues
  • Proven ability of working in a team environment and delivering team objectives
  • Experience of management of other team members of staff, including day to day delegation of work
  • Evidence of working under pressure to tight deadlines whilst prioritising workload
  • Ability to manage own workload
  • Knowledge of medical and dental terms and conditions of service, including Understanding of monitoring process for doctors in training
  • Experience of using rota software
Desirable
  • Knowledge of New Deal and European Working Time Directive working time regulations
  • Experience and knowledge of monitoring of junior doctors hours
  • Experience of rota design to maximise efficiency
  • Experience of HR practices
Skills and Abilities Essential
  • Excellent typing skills with good presentational skills and high level of accuracy
  • The ability to work as part of a team, or independently when required
  • Excellent communication and interpersonal skills
  • To be able to work under pressure & maintain concentration in a busy working environment
  • To manage own workload to meet deadlines
  • Ability to deal appropriately with sensitive and confidential information
  • Able to prioritise ensuring effective and efficient workload completion
  • Excellent knowledge of Microsoft Office applications including PowerPoint
  • Demonstrate excellent organisational and administrative skills
  • Be pro-active, be able to multi-task and liaise with other PA's to provide a professional service in a timely manner
Public Sector Language Competency Essential
  • Be able to speak fluent English to an appropriate standard
Qualifications and Training Essential
  • Good standard of education at GCSE or equivalent level including pass in English and Maths
  • Formal typing/word-processing skills using Microsoft Office applications or equivalent experience
Desirable
  • Educated to degree level or equivalent experience
  • Line management/leadership training/qualifications
