Kingston GP Chambers is a federation of 20 GP practices across the borough of Kingston.

Our head office is based in New Malden, and we also occupy the first floor of Surbiton Health Centre, where this role will be based.


We are looking for an experienced receptionist/administrator to join our talented team and provide support for our specialist clinics, minor illness and Kingston Education Centre.


The main responsibilities of this role will be;

  • Print clinic list for all GPwER clinics that day and include all patient details.
  • Check patients in for appointment and direct them to the correct waiting area.
  • Book followup appointments in to the correct clinic when patient returns to reception desk after their appointment.
  • Create consultation letter for each patient after their appointment and send to their GP surgery via direct message on EMIS print copy for patient if required.
  • Ensure all outcomes for each patient has been actioned for GPwER clinics (referred onto hospital/MRI/EMG request/followup booked/SOS/discharged)
  • Ensure any 2WW are actioned, logged on the spreadsheet and noted in the consultation notes.
  • Send text reminders for clinics the following day, and include photo requests if needed.
  • Reschedule cancelled clinics
  • Complete tasks on EMIS system.
  • Ensure that all mailboxes are checked daily and all queries are actioned
  • Scanning relevant documents
  • Ensure all cups/cutlery are washed up and tidied away.
  • Ensure reception area is clean and tidy, ready for the evening/weekend receptionist.
  • For the Dementia (Memory Clinic) liaise with the GP for any care/nursing home visits and schedule on the same day/same care home to ensure efficiency of GPs time
  • Liaise with key contacts and deal with queries from the Alzheimer's Society
  • For the Neurology Service arrange EMG/MRI referrals to Kingston Hospital and chase for reports from the Radiology department
  • Check requests on RotaMaster daily for any empty shift
  • Monitor Vasectomy procedures and arrange 4 month followup after procedure
  • Undertake any other duties which may reasonably be delegated by the Service Managers and the COO.

  • Excellent customer Service skills.
  • Basic IT Skills.
  • Ability to work as part of an existing team in a calm and professional manner.
  • Someone who is hardworking, reliable and eager to learn new skills and show initiative.
  • Previous Reception & Admin experience (Full training will be provided by the Team).
