As HR & Administration Support/Apprentice, your role is to help ensure the smooth running of the office working closely with the Executive Team of Directors.

Working as part of the HR & Administration Team, there's not much your job won't cover, and no two days will ever be the same.


This role would be ideal for someone interested in a career in administration/HR who wants to undertake a HR/Business Administration qualification/apprenticeship or indeed someone with a Business Administration/HR qualification already, who is looking to gain experience in the industry.


Reporting into the Finance Manager, your hours of work are 37.5hrs per week working Monday to Friday, 9am until 5.30pm.

Key Performance Tasks:

  • Responsible for the time management system daily, clearing any exceptions, reporting any sickness, discrepancies or issues
  • Check & monitor overtime, holiday & attendance ready for the processing of the monthly payroll.
  • You'll look after refreshments including lunches for executive team & visitors, meeting rooms, the post, general office paperwork, scanning, filing & be the main point of contact for visitors
  • Develop and maintain excellent communication with operations/depts/management and progress all enquiries, working efficiently and effectively.
  • Use approved administration procedures to enable accurate reporting and timely invoicing.
  • Process customer & supplier enquiries & queries in accordance with procedures including financial procedures/processes.
  • Ensure Company and customer quality procedures are followed at all times.
  • Accurate data entry using the inhouse MI system
  • Support Group HR Director with basic administration duties including review paperwork, employee information & processes.
  • Log holiday forms daily onto the time management system and scan to employee electronic files
  • Prepare letters and documents as requested within the required timescales
  • Assist in all aspects of the recruitment process including advertising, interviewing and taking notes
  • Be on hand for other duties from Management Team as required to assist with adhoc duties such as sourcing products/services to purchase/returning/paying for services/products provided
  • To perform other duties that reasonably correspond to the general character of the post and are commensurate with its level of responsibility.
  • Use Company vehicles when required to undertake tasks/duties
  • Ensure compliance with the Quality and Security Policies and Procedures

Skills

  • A full UK driving license or willingness to work towards/achieve this.
  • Ability to work as part of a small but friendly executive team
  • Clear communication, both orally and in writing, with good interpersonal skills (includes the ability to use tact and discretion and be confidential as required)
  • Good organisational skills with a proactive approach to work & tasks
  • Able to multitask and priorities workload with the ability to work to own initiative
  • Remain calm under pressure, with a positive, flexible cando attitude/approach
  • Business Administration Level 2/3 or CIPD Level 3 qualified (or above) is essential or you must have the willingness to undertake a either qualification/apprenticeship
  • High level of discretion & confidentiality
  • Flexible and adaptable approach to rapidly changing work priorities and ability to work under pressure
  • A helpful, cooperative and hands on attitude is a must
  • Ability & confidence to drive (Must have full UK driving license)
  • Good IT knowledge including Microsoft Office (Word, Excel, PowerPoint & Outlook) with focus & attention on data entry
  • Some experience of working in a busy and varied customer focused environment would be advantageous
