Job Summary:

Main tasks/ responsibilities:

  • Provided comprehensive administrative support to the
    MD and CEO (executive team), including managing a complex global calendar, travel, and events.
  • Scheduling appointments /meetings and organising diary entries with a duty of care, ensuring adequate rest between appointments /meetings.
  • Liaise with internal and external stakeholders on behalf of the executive team, representing the company professionally and courteously.
  • Handle sensitive and confidential information with discretion and integrity.
  • Perform other duties as assigned to support the efficient operation of the executive office.
  • Research & support to provide daily briefings/agenda/background material to
    MD to ensure they are prepared as needed undertaking research as needed.
  • Meeting coordination and room prep & set up.
  • Attend meetings as needed and take the minutes of the meetings to disturb the management team.
  • Organising offsite executive meetings to include venue, accommodation & travel sourcing.
  • Working closely with other teams/ PAs, both internal & external, to ensure close alignment & collaboration.
  • Ad hoc personal support to
    MD.
  • Taking notes at meetings, preparing the minutes, and subsequently distributing them to all participants.
  • Liaising with other members of staff and external parties such as clients and press.
  • Setting reminders for meetings, appointments, and other important task.
  • Support People manager with administrative tasks.
  • General office management.
  • Organising team events.
  • Silver mouse administrative task (training will be provided).

Requirements/ Essential Skills

  • Please note that the requirements/skills below will be tested at the interview/assessment stage._
  • A bachelor's degree or equivalent combination of education and experience is preferred.
  • Proven experience as a Personal Assistant or similar role, supporting senior executives or highprofile individuals.
  • Excellent organisational skills with the ability to multitask and prioritise effectively in a fastpaced environment.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels.
  • Discretion and confidentiality in handling sensitive information and maintaining privacy.
  • Flexibility to adapt to changing priorities and work schedules as needed.
  • Ability to work independently with mínimal supervision while functioning effectively as part of a team.
  • Exceptional attention to detail and accuracy in all tasks and communications.
  • Professional demeaner with a positive attitude and strong work ethic.

Bonus/ Desirable Skills

  • Knowledge of pre/postproduction, digital media and entertainment industry.
  • Full driving license.
  • Proven experience as a PA.
